Under general supervision, provides administrative support to department operations.

  • Answers phones and greets visitors
  • Tracks Economic Development Agreements including renewal dates and deliverables
  • Submits RFA's and other requests
  • Designs, creates, maintains, and updates a variety of forms for departmental use; schedules meetings and events and maintains calendar of appointments
  • Categorizes and maintains manual and computerized filing systems; creates tracking system and forms; enters data; cross-indexes and files documents
  • Processes purchase orders and requisitions
  • Processes information for submission of the Monthly Activity Report and Monthly Council Report to the City Manager's Office.
  • Takes, transcribes, and distributes minutes of meetings
  • Assists in the maintenance of the annual division budget
  • Processes and enters a variety of personnel actions
  • Maintains office supply inventory
  • Maintains a database of projects, inquiries and leads using CRM software
  • Schedules vendors for events; assists in event coordination
  • Performs other duties as assigned

Requires a High School Diploma or GED equivalent; supplemented by one to two years of related experience or an equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities. Possession of or the ability to readily obtain a valid Driver's License issued by the State of Oklahoma for the type of vehicle or equipment operated.Tasks involve the ability to exert minimal physical effort in sedentary work, typically involving some combination of balancing, feeling, grasping, hearing, mental acuity, reaching, repetitive motion, speaking, standing, talking, visual acuity, walking, and which involves some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (up to 10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
