As our Administrative Assistant, you'll be the backbone of our office, helping our team deliver great work and ensuring our clients always feel taken care of.
About the Role
As the Administrative Assistant, you'll take ownership of the day-to-day operations that keep the firm moving. You'll play a critical role in creating a professional, efficient, and welcoming environment for our clients.
Core Responsibilities (Your Day-To-Day)
- Assist Ron directly with taking meeting notes, applications, and client follow-through
- Contacting clients and ensuring every interaction reflects professionalism and care
- Answer phone calls/emails/texts and service client inquiries promptly and effectively
- Manage calendars, scheduling, and meeting logistics with precision
- Maintain accurate records and ensure client files are organized
- Prepare agendas and ensure follow through with action items after meetings
- Trustworthy and discretionary with clients sensitive and personal information
- Office inventory management
Growth & Development Opportunities (where you can expand in the role)
- Learn and adopt new tools quickly (CRM system, application systems, etc.)
- Submitting Financial Plan Reports and Updating Proposals
- Deep clean office monthly
- Take on Special Projects that keep the Office and Team Supported
- Flexible Hours for Evening Meetings and Quarterly Client Events
- Stay Curious and Proactive — not just Identifying Problems, But Bringing Forward Solutions
