Due to continued growth, we are seeking an experienced Administrative Assistant to play a central role in both client experience and internal operations.

This position is ideal for someone who is organized, friendly, energetic, proactive, and comfortable helping a firm improve its workflows and use of technology over time.

Key Responsibilities

  • Greet clients in person and serve as a welcoming first point of contact for the firm
  • Manage inbound phone calls, emails, and general inquiries with professionalism and warmth
  • Provide day-to-day administrative support to partners, managers, and staff to ensure efficient office operations
  • Help manage firm workflow by tracking incoming and outgoing work, monitoring deadlines, and assisting with internal scheduling and coordination
  • Prepare, scan, process, and organize client tax returns and related documents, ensuring accurate filing and easy access for the team
  • Maintain well-organized electronic and physical records, with strict attention to confidentiality
  • Assist with scheduling, document preparation, correspondence, and other administrative needs
  • Support the team's gradual transition to improved digital workflows and tools by helping implement better organization, consistency, and processes
  • Assist with miscellaneous office projects as needed in a fast-paced environment

Qualifications & Skills

  • Prior experience in a CPA firm or public accounting environment is strongly preferred, though not required
  • Strong administrative and clerical skills with exceptional attention to detail and follow-through
  • Excellent organizational and time-management skills; able to juggle multiple priorities and deadlines
  • Comfortable learning and working with office technology and willing to help the firm improve how it uses systems and tools
  • Outstanding verbal and written communication skills
  • Polite, professional, and dependable, with a positive, team-oriented mindset
  • Friendly, energetic, and client-service focused
  • Ability to handle sensitive and confidential information with discretion

Pay: $60, $80,000.00 per year
