Expected Hours: 40 per week

Schedule: Monday–Thursday, 7:30 AM–5:00 PM; Friday, 7:30 AM–11:30 AM

Shift: Day Shift

Position Summary

The Customer Specialist at ICS plays a critical front-line role in delivering exceptional customer service to program participants, applicants, and internal staff. This position supports program operations through a wide range of administrative functions while embodying ICS's mission to serve the community with compassion, professionalism, and respect.

Key Responsibilities

  • Greet visitors, applicants, and program participants in a courteous and professional manner
  • Answer incoming phone calls and provide accurate information about ICS programs, services, and processes
  • Respond to inquiries, resolve basic concerns, or route more complex issues to appropriate team members
  • Enter applicant data and conduct preliminary eligibility reviews for housing programs
  • File applications and documentation in an organized and confidential manner
  • Receive, date-stamp, and distribute paperwork submitted in the office lobby
  • Process and route incoming and outgoing mail in a timely fashion
  • Monitor inventory and order office supplies to support department needs
  • Collaborate with other departments to resolve participant issues and promote a seamless client experience
  • Support the ICS team with special projects and other administrative tasks as assigned

Qualifications

  • 3–5 years of experience in a customer service or administrative support role preferred
  • Excellent organizational, multitasking, and communication skills
  • Empathy, patience, and strong problem-solving ability are essential
  • Experience working with underserved or economically disadvantaged individuals is beneficial
  • Familiarity with Microsoft Office Suite, Outlook, and Teams preferred
  • Bilingual abilities (particularly in Spanish or Hmong) are highly desired
