Duties
1.Operations Coordinator – Job Responsibilities1. Port & Carrier Information Monitoring
Collect and track carrier/terminal updates (availability, holds, cutoffs, LFDs, empty returns).
2. System & Data Maintenance
- Update container statuses, milestones, appointments, and notes in internal systems.
- Maintain accurate logs for active, released, and pending containers.
3. Carrier & Driver Follow-Up
- Follow up on pickup timing, delivery progress, empty returns, and required documents.
- Record real-time updates and communicate ETAs to the Operations Manager.
4. Appointment Support
- Check appointment windows and support preparation of booking slots.
- Update appointment outcomes (successful, failed, rescheduled) in the system.
5. Documentation Collection
- Collect and upload PODs, EIRs, Gate Passes, and appointment confirmations.
- Organize documents according to internal SOPs.
6. Administrative Support
- Maintain shared trackers and assist with daily operational updates.
- Support small administrative tasks and internal coordination as needed.
- Report changes or exceptions to the Operations Manager promptly.

Experience
- Proven office management or administrative experience preferred
- Strong computer skills including proficiency with Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry applications
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Prior experience in customer service or support roles demonstrating strong communication skills
- Familiarity with front desk operations, multi-line phone systems, and calendar management tools
- Bilingual abilities are highly desirable to serve diverse client needs (English and Chinese)
This role requires a detail-oriented individual who excels at organization, communication, and multitasking. The Operations Coordinator will play a vital part in maintaining efficient office workflows while providing outstanding support to clients and team members alike.
Pay: $4, $5,500.00 per month
