Summary

Under the direction of the Public Health Clinic Support Services Supervisor, the Office Assistant I/II is responsible for performing a variety of clerical functions in support of the needs of the Office, Department, or Program.

Responsibilities include but not limited to:

  • Interacting with public/clients through counter service by scheduling appointments, gathering confidential information to complete registration, verifying information for referrals to Community Health Workers, assisting clients with completing paperwork, and checking out clients after client care.
  • Entering client information in medical records system; May be responsible for codifying information.
  • Providing office support to outreach clinic sites in the community which may include Montgomery County jail.
  • Answering phones and directing inquiries, questions, and complaints from incoming multi-line phone system.
  • Serving as a backup to other support staff.
  • Supporting Public Health goals, mission, vision, values, and objectives through daily tasks and special projects.

Job Requirements

Minimum Qualifications:

  • High School Diploma or equivalent (G.E.D.)
  • Office Assistant II: Two years' experience as Office Assistant I
  • Proficiency in utilizing a PC with Microsoft Office software experience
  • General knowledge of office practices/procedures
  • Ability to type 35 wpm
  • Excellent customer service skills
  • Understands and acknowledges that Public Health - Dayton & Montgomery County uses evidence-based and evidence-informed public health practices based on scientific research including health promotion theory and practice, environmental health measures, and communicable disease control measures including vaccination, isolation, and quarantine practices, and medicine for treatment and prevention of disease, among others.
  • Understands and acknowledges the use of tobacco or nicotine products in any form including replacement therapy products and prescription medications used to treat smoking addiction for anyone hired after January 1, 2014, is prohibited.
  • Required to play an active role during a public health emergency, crisis, outbreak, incident, or event in which the Health Commissioner deems additional personnel resources are warranted. This may include changes in responsibilities and working locations/hours.
  • Completion of Incident Command System 100 and National Incident Management System 700 courses within 90 days of hire.
  • Valid State of Ohio driver's license and insurance on any personal vehicle that will be used for work.

Preferred Qualifications:

  • Office Assistant I: Two years' clerical/administrative support experience
  • Multi-line telephone system experience
  • Medical terminology background
  • Bilingual in Spanish and/or multilingual
