Overview:
Under general supervision, works independently to project, plan, initiate and implement all aspects of the employee recognition programs that focus on the agency's overall goals, mission, and values. Provides strategic communications counsel and support as well as promotes events designed to heighten awareness of various agency-wide programs and events. Oversees all aspects of event programming.

Employee Programs Administrator
- This is an exempt position in Salary Grade 190: Min $84, Mid $100, Max $117,416.00 annually. The starting salary will be within this range based on qualifications.

Employee Programs Specialist
- The is a non-exempt position in Salary Grade 175: Min $ Mid $ Max $48.76 per hour. The starting salary will be within this range based on qualifications.

The position will remain open until a candidate is selected.

  • Creates, develops, implements, and coordinates a comprehensive employee program that aligns with the agency's overall goals, mission, and values by recognizing criteria such as achievement, excellence, integrity, key milestones, etc., so as to drive retention and engagement. Coordinates with management to create and provide professional and creative corporate events. Plans and prepares written project plans, timelines, proposals and cost estimates. Recruits members for and leads the Employee Recreation Associate (ERA). Serves as the liaison between management and the committee.
  • Reserves facilities, books events and coordinates related contracts. Works directly with vendors and resolves issues.
  • Participates in various internal communications programs to publicize and bring attention to events. Works with Marketing, Internal Communications and graphic design staff for internal electronic and print communications. Prepares PowerPoint presentations.
  • Develops annual budget; participates in the forecasting of funds needed for staffing, equipment, materials, and supplies; monitors and approves expenditures; implements adjustments. Prepares and provides reports. Creates and implements ERA fund raising activities.
  • Coordinates and plans rideshare incentive programs in compliance with AQMD rules. Maintains AQMD certification to complete and file annual survey. Collaborates with AQMD consultant. Administers ride share incentive programs in compliance with internal policies and procedures.
  • Coordinates the annual Career Expo; inviting exhibitors and participants, coordinating facility set-up, staffing, schedule, speakers, activities, and lunches.
  • Demonstrates strong logistical, organizational, program development and leadership skills that reflect specific attention to detail and accuracy.
  • Assists with administrative activities in Benefits section and Human Resources Department as needed.

Provides on-going feedback in a helpful manner to develop skills and talents of others.

  • Conceives, develops, and promotes multi-faced morale-building and recognition events in direct response to requests from upper management.

Solves Problems & Analyzes Issues:
Has and applies problem analysis and problem-solving skills on a technical and interpersonal level.

  • Develops and implements analysis tools and studies that measure programs' effectiveness. Analyzes and recommends program modifications based on internal and/or external studies to ensure alignment with the agency's current and/or anticipated goals, objectives, mission, and values.
  • Researches and evaluates materials pertinent to employee programs' projects. Recommends appropriate actions and makes presentations to all levels of employees.

Works in a Collaborative Manner with Others:
Works in a collaborative manner with others, helps resolve unproductive conflict.

  • Coordinates with internal staff and outside vendors, , to produce program support materials.
  • Acts as Advisor for the Employee Recreation Association (ERA); provides guidance on fund allocation and acts as liaison between senior management and the committee.
  • Establishes and maintains effective working relationships with a variety of executives, management, employees, and the public.

Qualifications
Employee Programs Administrator
- Any combination of education and experience equivalent to a bachelor's degree in public relations, communications, or business administration or a related field with a minimum of five years of experience in marketing, project management, administration, or communications.

Employee Programs Specialist
- Any combination of education and experience equivalent to a bachelor's degree in public relations or administration, communications, business administration or a related field with a minimum of three years of experience that includes event planning, coordination, and execution.
