Coates Group is looking for a Project Coordinator to join on our team on a temporary basis to support the planning, coordination, and execution of trade show events. The ideal candidate will have experience in exhibits, trade shows or events and is passionate about marketing and managing the details of the development and production process.

You'll play a key part in ensuring projects are delivered on time, on budget, and exceed client expectations. The position is critical in maintaining the operational flow of projects and ensuring the Coates brand is represented flawlessly at events.

What You'll Do
Event Management & Coordination

  • Create and maintain event documentation, timelines, and inventory
  • Coordinate shipping of event supplies with supply chain team
  • Help develop detailed documents and execute briefings for leadership team
  • Managing project timelines, deliverables, and execution with precision in coordination with a cross-functional team.
  • Communicate clearly and consistently with internal teams to keep everyone aligned.
  • Coordinate across departments using our project systems to ensure details are tracked and nothing is missed.
  • Tackle challenges head-on—troubleshoot problems, anticipate risks, and provide proactive solutions.
  • Create and maintain implementation plans, work-back schedules, and vendor communications.
  • Coordinate services and support marketing team with purchase orders as needed.
  • Participate in post-project reviews and identify opportunities for improvement.

What You Bring

  • Strong organizational skills and attention to detail, with the ability to manage multiple fast-paced programs of work.
  • 1-3 years of experience in the exhibit, events, or experiential marketing industry (or similar project-based field).
  • Detailed-oriented and proactive in problem-solving.
  • Experience working with project management platforms (Asana, JIRA, etc.) and proficiency with Microsoft Office Suite (Word, Excel, Outlook, Powerpoint).
  • A Bachelor's degree or equivalent combination of education and experience.
  • Solid understanding of production materials, trade show regulations, and industry best practices.
  • Proficiency in Microsoft Office and familiarity with project management tools.
  • Excellent written and verbal communication skills and strong collaboration skills
  • Willingness to work flexible hours as needed.
