  • Job Title: Operations Support Specialist

Overview

The Operations Support Specialist provides critical administrative and logistical support to the operations and office teams. This role helps ensure smooth day-to-day operations by managing documentation, coordinating with vendors and staff, maintaining schedules, and assisting with production tracking, and communication across departments.

Key Responsibilities

  • Support daily operations by assisting with scheduling, material orders, and project coordination.
  • Prepare and process purchase orders, delivery tickets, and job-related paperwork.
  • Maintain and update job tracking systems, spreadsheets, and shared project files.
  • Communicate with vendors, customers, and internal departments to ensure accuracy of orders and deliveries.
  • Assist office staff with document organization, filing, and administrative tasks.
  • Monitor inventory and coordinate with the warehouse or shop on material needs.
  • Help operations leadership with data entry, reporting, and project documentation.
  • Handle phone calls, emails, and inquiries related to ongoing jobs.
  • Maintain confidentiality and accuracy in all records and communications.

Skills & Qualifications

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and general computer systems.
  • Attention to detail and accuracy with numbers and documentation.
  • Ability to work collaboratively with both office and field teams.
  • Prior experience in an industrial, fabrication, or construction office preferred but not required.

Work Environment

This position is based in the corporate office and reports directly to the Operations Manager. It requires daily communication with administrative staff to support efficient workflow across all departments.

Pay: $36, $44,000.00 per year
