About the Role
We're looking for a proactive and detail-oriented Office Manager & Executive Assistant to ensure our office runs smoothly while also supporting our Chief Financial Officer. The majority of this role will focus on creating an efficient, welcoming, and well-managed office environment, with about one-third to one-half of time dedicated to direct support for the CFO. Key Responsibilities
Office Management (Primary)

  • Order and maintain inventory of office supplies, including snacks, beverages, and coffee.
  • Welcome and assist visitors, ensuring a professional and friendly first impression.
  • Coordinate and often lead the planning of company meetings, events, and team engagement activities.
  • Serve as the primary point of contact for employee needs related to the office environment.
  • Oversee company vehicle fleet, ensuring registrations, maintenance, and insurance are current; lead purchasing and upkeep as needed.
  • Manage the relationship with the third-party IT provider, serving as the initial point of contact for basic (Level 1) support matters.
  • Manage relationships with insurance partners for property and general liability coverage across all locations.
  • Act as the main contact for building access, maintenance requests, and facility-related projects.
  • Oversee third-party vendors and platforms related to office equipment, technology, and furnishings.
  • Coordinate company phone plans and related administrative needs.
  • Provide project management support for company initiatives, events, and evolving operational priorities.

Executive Assistant to CFO (Secondary)

  • Manage the CFO's calendar, scheduling, email management, and travel logistics.
  • Prepare presentations, reports, and meeting materials.
  • Coordinate leadership and board meetings, ensuring logistics and materials are well-organized.
  • Routinely handle company and personal confidential information with discretion and professionalism.
  • Assist with special projects or research as needed to help the CFO focus on strategic priorities.
  • Support departmental administrative needs including but not limited to scheduling, monthly / annual planning, etc.

Requirements
Qualifications

  • 2+ years of experience in office management, administration, or executive support. Ideally to include support of financial leaders or departments.
  • Strong organizational skills with a knack for juggling multiple priorities.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook).
  • Excellent interpersonal and communication skills across the department and organization.
  • Experience handling confidential information with professionalism including but not limited to financial information and individual compensation information.
  • A proactive problem-solver who embodies our values: In It Together, Hungry to Grow, Bias for Action, and Raise the Standard.
