Job Overview

The Director of Purchasing is responsible for the purchasing, receiving and updating of the hotels hard and soft goods within the Hotel, Food & Beverage and all departments. Ensures each department's purchasing requests are complete and within budget. Sources products, supplies, materials and equipment; negotiates the most cost-effective purchases according to the specifications. Advises department heads of new products and supplies and controls inventory.

Responsibilities
  • Maintain records of goods ordered and received. Keep logs and records of purchase orders for quick and easy referral for audits or references.
  • Locate vendors of materials, equipment or supplies and interview vendor contacts in order to determine product availability, quality and terms of sale.
  • Prepare and process purchase orders for deliveries of supplies and equipment for both Hotel and Food & Beverage outlets. Administer a Purchase Order system.
  • Controls the budgets. Maintains and updates property checkbook to ensure that budget is not exceeded. Adjusts orders accordingly. Input Sharp data as well as purchase order information.
  • Review purchase order claims and contracts for conformance to company policy.
  • Analyze market and delivery systems in order to assess present and future material availability.
  • Develop and implement purchasing and contract management instructions, policies and procedures.
  • Participate in the development of specifications for equipment, products or substitute materials.
  • Resolve vendor or contract grievances and claims against suppliers.
  • Represent companies in negotiating contracts and formulating policies with suppliers.
  • Review, evaluate and approve specifications for issuing and awarding bids.
  • Participate in capital budget purchases – finding competitive pricing, product quality and vendors.
  • Prepare bid awards requiring executive approval for new products and capital purchasing.
  • Prepare reports regarding market conditions and merchandise costs.
  • Arrange for disposal of surplus materials.
  • Approve daily payments of API Services (Account Payable)
  • Log and Deposit payment checks for the Hotel and Food & Beverage outlets.
  • Manage product inventory for Hotel's and Food & Beverage outlets' paper collateral, stock. Edit, update and approve specifications for all paper collateral.
  • Participates and checks monthly inventory for all Food & Beverage outlets.
  • Maintain inventory of Refreshment Center. Upgrade product menus and collateral. Ensures we have the best pricing while meeting product quality standards.
  • Daily sort of USPS mail received to have distributed to Hotel and Food & Beverage associates and Hotel Guests.
  • Oversees the receipt of all packages relating to Hotel and Food & Beverage outlets.
  • Ensures that all urgent requests are settled in a timely manner.
Qualifications

Education/Formal Training

4-year Bachelor's degree in Finance and Accounting or related 5 year progressive purchasing experience with a preference for hospitality/foodservice.

Experience

Five years experience in a similar capacity. Must have solid experience implementing and managing purchasing and/or accounting software or similar Internet based procurement system.

Knowledge/Skills

  • Use mathematics to solve problems.
  • Using basic computer hardware and software (e.g., personal computers, word processing software, Internet browsers, etc.).
  • Knowledge of economic and accounting principles and practices, P&L statements, operating budgets, forecasting and scheduling, and the reporting of financial data.
  • The ability to gather and organize information using a logical and systematic process; recognize patterns and relationships in complex data; examine data to identify implications, problems and draw appropriate conclusions; generate alternative solutions to problems; evaluate strengths, weaknesses and consequences of alternative solutions and approaches to solving problems
