Full job description
The Administrative Assistant provides essential office and HR support to ensure efficient daily operations. This role includes clerical work, communication, scheduling, employee onboarding assistance, benefits administration, employee customer service, and general administrative responsibilities. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced environment.
Essential Functions
· Assist with the preparation, review, editing and processing of team members uniform orders/supply orders
· Support the hiring and recruitment process
· Maintain confidentiality of sensitive information and record keeping
· Act as a resource to employees for HR related questions and requests
· Assist with the administration of various HR programs (Staff meetings, Employee Recognition, Service Anniversaries, benefits events, etc.)
· Answer and route phone calls; greet and assist visitors
· Assist with employee onboarding, including preparing paperwork, coordinating new-hire orientation, and maintaining personnel files
· Help with employee benefits administration, such as distributing forms, tracking enrollments, and assisting staff with general benefit-related questions
· Maintain electronic and paper filing systems
· Perform data entry and update internal databases
· Process incoming/outgoing mail and deliveries
· Assist with basic bookkeeping tasks (invoicing, expense tracking, receipts)
· Order and maintain office supplies and inventory
· Support upper management with administrative tasks and special projects
Education, Work Experience and Requirements
· High school diploma or equivalent required; Associate degree preferred
· 1–3 years of administrative or office support experience preferred, entry-level considered
· Strong communication and customer-service skills
· Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
· Ability to prioritize tasks, meet deadlines, and multitask
· Strong attention to detail and accuracy
· Professional phone and email etiquette
Physical Requirements
· Ability to lift and carry up to 35 lbs.
· Ability to sit, stand, and use standard office equipment for extended periods
