Mayvin is currently seeking experienced applicants for an Executive Administrative Support Specialist position for an effort in support of Department of Homeland Security (DHS), U.S. Customs and Border Protection (CBP).This position is located in Washington, D.C. The selected candidate will serve as the primary administrative support for a CBP Headquarters team within the Laboratories and Scientific Services Directorate Interdiction Technology Branch (ITB). The candidate will provide administrative and technical support for all aspects of supporting a workforce that delivers technical solutions to end users including, but not limited to, covering the phones and desk to provide critical information to internal stakeholders and visitors, supporting administrative reporting to external stakeholders, processing invoices, supporting the inventory processes, and liaising with stakeholders to facilitate to the background investigation process.

Must be a U.S. Citizen.

Must undergo a Background Investigation (BI)

Responsibilities:

  • Assists the Director with Travel Budgets via tracking initial travel estimates, estimate approvals from Fed Traveler software and finally, the true cost when expense reports are submitted.
  • Assists Government employees with their application for the Public Transportation Incentive Program allocations and handle the submission to the Budget.
  • Responsible for maintaining Outlook Calendar with updates for employees to assist Director with certification of time.
  • Responsible for seating, signage, telephones, and computers for all.
  • Responsible for security clearance forms and acts as liaison to Workforce Management Group and Office of Professional Responsibility for new hires Background Investigations.
  • Responsible for PIV Card access documentation for access to CBP network and shared resources.
  • Responsible for resolving issues relating to ServiceNow ticketing submissions on behalf of others.
  • Responsible for covering the multi-line telephone and front desk for Branch and Headquarter staff.
  • Responsible for updating in-house and Emergency Call roster and listservs.
  • Responsible for reconciling delayed invoices and working with CORs for payment.
  • Responsible for working with the local property officer for ordering office supplies and support inventory tasks.
  • Responsible for uploading technical documentation for archiving purposes in the system of record.
  • Other duties as assigned.

Qualifications:

  • Bachelor of Science or Bachelor of Arts Degree
  • Possess practical knowledge of procurement procedures, operations, and regulations (i.e., Federal Acquisition Regulation).
  • Possess practical knowledge of Procurement Requests (PR's), Contracts, Delivery Orders and modifications in support of government personnel (i.e., SAP)
  • Excellent oral and written communication skills and ability to work effectively with people at all levels.
  • Shall possess ability to communicate complex issues, clearly and effectively, both verbally and in writing to a range of stakeholders.
  • Shall possess ability to work both individually and in a team environment.
  • Shall be proficient in the use of commercial software packages such as Microsoft Office

    (in particular Word, Power Point, Project, Outlook and Excel) and SharePoint.
