Position Overview
IYT is seeking a highly organized, strategic, and mission-driven Chief of Staff to support the CEO in maximizing organizational effectiveness and leadership impact. The Chief of Staff will serve as a critical thought partner and right-hand to the CEO, overseeing a wide range of operational and strategic responsibilities. This role is central to strengthening our board governance, driving strategic projects, optimizing the CEO's time and priorities, and ensuring high-functioning executive and board leadership.
Job Summary
Key Responsibilities:
1. Board Governance (40%)
- Manage all logistics and operations for the National Board of Directors and Regional Boards of Advisors.
- Develop and maintain a calendar of board meetings and ensure timely preparation of meeting materials (agendas, presentations, reports, and minutes).
- Serve as a liaison between the CEO and board members to maintain strong engagement and communications.
- Support recruitment, onboarding, and stewardship of board members.
- Track and ensure follow-through on board action items and strategic directives.
2. Strategic Initiatives (25%)
- Serve as project manager on CEO-led strategic initiatives, including organizational priorities, partnerships, and special projects.
- Conduct research, prepare briefing materials, and track deliverables related to key initiatives.
- Help align projects with IYT's strategic plan and annual goals.
- Coordinate cross-departmental collaboration and ensure timelines are met for CEO-sponsored efforts.
3. Executive Scheduling & Workflow Optimization (20%)
- Manage the CEO's complex calendar with a strong understanding of organizational priorities.
- Anticipate needs, flag conflicts, and ensure time is allocated to high-leverage activities.
- Prepare the CEO in advance of meetings with background briefs, talking points, and documents.
- Prioritize inbound requests for the CEO's time and determine appropriate responses.
4. C-Suite Meeting Management (10%)
- Plan and coordinate bi-weekly C-suite meetings, including agenda development, logistics, note-taking, and follow-up tracking.
- Ensure alignment between departments and help hold C-suite members accountable to shared goals and actions.
- Identify opportunities to improve the cadence, culture, and impact of leadership meetings.
5. Administrative & Executive Support (5%)
- Draft, edit, and format correspondence, reports, presentations, and internal communications.
- Support preparation for key speaking engagements, conferences, or donor events.
- Assist with travel planning, expense tracking, and special event coordination.
Additional duties as assigned.

Requirements
Days & Hours:
- Monday to Friday, 8:30-5:00 pm. Occasional weekends and evenings

- This position works out of our National HQ office in Sacramento
Travel Frequency:
- Travel is required for organizational wide events and trainings
Physical Requirements:
- This role is in a stationary position 50% or more of the time
Must Haves
- Believe in the mission, vision, and values of IYT
- Knows and can successfully articulate the organization and program mission, vision, and values to other stakeholders and collaborators;
- Proven experience supporting senior executives, with at least 5 years in a Chief of Staff, project management, or nonprofit leadership support role.
- Strong board governance expertise, including managing board meetings, preparing materials, and tracking follow-through.
- Exceptional communication skills, with the ability to draft briefs, talking points, reports, and represent the CEO professionally.
- High-level project management ability, including managing cross-departmental initiatives and driving deadlines.
- Advanced organizational and prioritization skills, including expert calendar management, anticipating needs, and protecting executive time.
Education & Experience
- Related Bachelor's degree from an accredited university.
- 5+ years of experience supporting senior executives or nonprofit leadership.
- Experience with board governance, including preparing board materials and managing board logistics.
- Demonstrated success in project management and driving cross-functional initiatives.
- Experience managing executive schedules, priorities, and communications.
- Background in nonprofit, education, policy, politics, government, philanthropy, or mission-driven environments strongly preferred.
Computer Skills
- High proficiency with Microsoft 365 (Word, Excel, PowerPoint, Outlook), Google Workspace (Docs, Sheets, Slides, Drive), and Zoom for virtual collaboration.
- Experience using project management tools such as or Asana,
- Ability to create and format presentations, reports, and briefing documents.
- Comfortable using Salesforce CRM, board portals, and other organizational systems.
