Job Overview

Better Homes and Gardens Real Estate Winans is a fast-growing residential real estate brokerage looking for a highly organized, detail-oriented coordinator to support our eLead (internet lead) division.

This role is essential to ensuring our agents are properly onboarded, fully operational inside our technology platforms, and consistently following lead management standards that protect opportunities and drive conversions.

The ideal candidate is trustworthy, tech-savvy, detail-driven, and thrives in a fast-paced environment where follow-up and accountability matter. You'll start with a defined set of responsibilities, but there is significant room to grow as you become comfortable in the role and with our systems.

Key Responsibilities

Onboarding Execution

  • Send and manage all onboarding invitations for new agents.
  • Ensure each onboarding step is completed accurately and on time
  • Coordinate directly with agents to guide them through onboarding and answer questions along the way.

Tech Stack Setup

  • Provide one-on-one profile setup across all required platforms to ensure agents are fully operational from the start
  • Prevent onboarding delays that impact agent productivity
  • Help ensure smooth onboarding as we prepare to onboard larger groups (10+ agents at a time).

New Agent Accountability & Support

  • Monitor FUB activity during an agent's first 3–4 weeks to ensure proper lead management and timely follow-through.
  • Identify gaps in lead follow-up or system usage and work directly with agents to correct them
  • Escalate non-compliance to leadership when coaching or accountability is needed.

Lead Protection

  • Reassign leads when follow-up standards are not met to prevent lost opportunities
  • Ensure high-intent leads receive timely responses and proper attention

Contract Tracking

  • Log and track executed contracts and updates inside eRelo and PA/FUB.
  • Maintain accurate, up-to-date records across all systems

Nurture Pond Management

  • Actively monitor groups of referrals who are set to "Nurture" status and quickly reallocate high-intent leads when necessary.
  • Monitor referrals placed in "Nurture" status.
  • Reallocate high-intent leads when appropriate to maximize conversion opportunities.
  • Partner with the Team Manager to maintain healthy lead flow and productivity.

Additional Responsibilities

  • Support off-boarding processes when agents exit the program or division.
  • Manage daily listing alert processes and updates.

Qualifications and Experience

Educational Background

  • High school diploma or equivalent required.
  • Additional education or certifications in business, technology, operations, or administration is a plus.

Experience

  • Minimum of 3–4 years experience working in an office environment.
  • Experience in an administrative, clerical, or coordinator role is strongly preferred.
  • Real estate experience is helpful, but not required.

Skills & Attributes

  • Comfortable learning and navigating multiple technology platforms.

What We Offer

  • Full-time position with salary range of $45,000 – $55,000/year.
