Office Manager
Responsibilities/Duties/Functions/Tasks
- Manage daily operations, efficiency, and productivity of the office.
- Providing daily oversight and guidance to employees.
- Notify/ meet with staff on office policy and procedure changes.
- Assist patients with office, facility, and Anesthesia billing issues
- Resolving patient issues in-person or over the phone.
- When a patient leaves a bad review, investigate and respond.
- Review résumés and interview applicants for staffing needs.
- Retain employee files to document (i.e. personal data, reference checks, compensation, benefits, payroll information, attendance, performance reviews or evaluations, and termination date and reason).
- Support staff when staffing shortage: answer phones, chart prep, scheduling, and rooming patients.
- Ensure correct billing for outpatient and inpatient charges for providers. I do this every week.
- Review MIPS measures
- Check PMD 2-3 times a week and update charts as needed.
- Maintain office inventory and order supplies when needed.
- Complete visit with a purpose twice a year
- Complete Outside Service Audit quarterly.
- Approve payroll and time off requests.
- Email invoices to GIA as they come in.
- Weekly bank deposits.
- Monitor Leading Reach 2-3 times a week.
- Make sure all referrals/precerts are obtained and current. (Daily)
- Make sure all recalls and orders are up to date at least weekly.
- Enter all receipts into Wells Fargo ensuring all are entered before months end.
- Monthly Capsule Count emailed to appropriate people.
- Office closure and physician out of office updated at the end of each month.
- Run missing charges report at least once a month.
- Review the fax inbox at least once a week.
- Review staff tasks list at least once a week.
- Enter Solar Winds tickets for all gGastro issues, IT, and HR needs.
- Renew hospital access for staff every 2 years
- Logging into Klara everyday and responding to patients' messages. Also have to check the patient portal in gGastro daily.
- Take calls from staff when they are not going to be in the office (sick, late due to traffic ect..)
- Obtain estimates on anything needed for the office before purchasing or okaying the job.
- Any other duties as assigned.
