We are a fast-paced professional med-spa, specializing in a variety of skin treatments, many massage modalities, laser hair removal, aesthetic injections, and cool sculpting. We are looking for hard working, friendly, drama-free, customer service oriented individuals who are happy to provide outstanding customer service as part or full-time receptionists. Position Overview

The Medspa Coordinator plays a key role in delivering a seamless client experience. This position supports daily spa operations, including answering calls, managing appointments, processing transactions, and ensuring top-tier client care. You will thrive if you enjoy working in a fast-paced environment and are always willing to learn more and strengthen your skills to deliver the best service and results.

Schedule Options

Full-Time: Wednesday - Saturday, 8:30 AM - 4:30 PM

Part-Time:

  • 25-30 hours per week with open availability including weekday, weekend, and evening shifts (up to 7:30 PM)

Spa Hours: Monday - Sunday, 9:00 AM - 7:00 PM

Primary Responsibilities Front Desk

  • Greet and check-in patients upon arrival
  • Warmly welcome clients and create a positive first impression
  • Gather confidential patient intake & ensure client consents are up to date
  • Check patients out and collect payments
  • Answer incoming phone calls, texts and other appointment inquiries
  • Schedule appointments in an efficient manner

Customer Engagement & Sales

  • Create a welcoming and informative environment
  • Address customer queries and assist in making informed purchasing decisions
  • Sell club memberships and recommended products (low-pressure approach)
  • Build strong relationships with repeat customers through personalized attention and follow-up

Scheduling & Coordination

  • Establish and maintain contact with patients considering
  • Maximize scheduling utilization using cancellation lists
  • Manage lead lists and Zenoti system
  • Add on procedures when appropriate
  • Assist in managing providers' schedules to utilize cross-referral opportunities
  • Act as liaison between patient and provider by scheduling recommended procedures and tracking closure rates

Merchandising & Facility Maintenance

  • Assist in maintaining visually appealing displays that highlight products
  • Ensure products are properly stocked and organized
  • Ensure cleanliness and hygiene of the medical spa
  • Maintain a tidy workspace and sampling products
  • Wash and fold laundry as needed

Qualifications & Requirements Essential Skills

  • Excellent communication skills: well-spoken, articulate, and engaging
  • Strong customer service orientation with exceptional patient care abilities
  • Ability to multitask effectively and manage multiple priorities
  • Strong phone and computer skills
  • Basic proficiency with software applications and point-of-sale systems
  • Strong analytical and decision-making abilities
  • Attention to detail for accurate product placement, pricing, and inventory management

Preferred Experience & Knowledge

  • Previous customer service experience
  • Demonstrated interest and knowledge in cosmetics, skincare, and beauty trends
  • Familiarity with a variety of cosmetic and skincare products
  • Basic sales skills with willingness to learn and improve
  • Training or certifications in beauty-related fields (advantageous)
  • Consistent work history

Availability

  • Flexible schedule required
  • Ability to work evenings, weekends, and holidays
  • Open availability for varied shift assignments
