Responsibilities

  • Greet visitors, clients, and vendors with professionalism and warmth, ensuring they feel welcomed and valued.
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette.
  • Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office.
  • Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy in all communications.
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
  • Assist with clerical duties including typing correspondence, managing office emails, and supporting customer service inquiries.
  • Provide support as a personal assistant or medical/dental receptionist when needed, demonstrating flexibility across various administrative functions.

Requirements

  • Proven experience in office management or administrative roles with strong clerical skills.
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
  • Prior experience working with multi-line phone systems and demonstrating professional phone etiquette.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Demonstrated customer service skills with a friendly demeanor and effective communication abilities.
  • Experience with bookkeeping software like QuickBooks or similar is preferred but not mandatory.
  • Previous roles such as front desk receptionist, dental receptionist, or personal assistant are advantageous.
