Contract Administrator
to support our growing team in
Portland, ME.

Role & Responsibilities
In This Role, You Will

  • Assist with drafting Contracts, Addendums and Schedules
  • One-on-one pre-start meetings with Consultants in person or via teams to ensure all logistical and technical issues are addressed prior to starting a new assignment
  • Document maintenance of Contracts, Addendums and Work Authorizations
  • Coordinate logistics for background checks, drug and alcohol testing, health & safety training and any other Client and/or PTAG onboarding requirements
  • Prepare and distribute on-boarding information to consultants
  • Primary point of contact for Consultants regarding logistical issues
  • Coordinate and track the finalization of contracts as required by Account Managers
  • Assist with receiving, reviewing and tracking insurance certificates and endorsements for compliance with requirements and pending expirations
  • Communicate with other departments to gather necessary information to onboard employees/consultants onto new projects and assignments
  • Update company database with new hire information
  • Coordinate relocation and redeployment of new employees/consultants as needed
  • Manage office inventory and distribute Consultant supplies (shipping laptops/tablets, etc.)
  • Ad hoc administrative duties as assigned

Qualifications / Requirements
To succeed in this role, you bring:

  • College or University diploma or degree in Contracts Administration, Project Management or Business Administration
  • Good understanding of contracts and contracts administration
  • High degree of discretion dealing with confidential information
  • Excellent written and verbal communication skills – willingness and ability to pick up the phone when necessary to resolve issues and follow up with Consultants and Employees
  • Ability to multi-task and adhere to deadlines when required
  • Ability to provide timely and accurate feedback to Reporting Manager, Consultants, Employees and Account Managers
  • Familiarity with Vendor Management Systems (VMS) preferred
  • Proficient in MS Office (Word, Excel, PowerPoint)
  • Pleasant and professional demeanor with an ability to work cooperatively with others.
