Asurion is seeking an Executive Assistant/Legal Administrative Support to provide support for multiple attorneys and legal professionals. We are dedicated to finding a professional who possesses drive, strong communication skills, initiative, and a great attitude to manage day-to-day business activities that arise in Asurion's Legal Department. The candidate must be polished, a self-starter, and able to thrive in a fast-paced, ever-changing environment. Attention to detail and integrity are essential traits, as well as displaying tact, composure, collaboration, discretion and maturity. The ideal candidate needs to effectively communicate with staff members of all levels, be comfortable working on multiple tasks and/or projects, have strong to expert ability with all O365 software programs and a willingness to interact with and learn other software programs as needed. This position will report to a Senior Executive leader within the Legal Department but may take direction from multiple attorneys and legal professionals in the Nashville office.

Responsibilities:

  • Assisting senior executive and other legal professionals as needed in their day-to-day activities, including general administrative support and research, as required by business and legal needs
  • Assist legal staff in responding to outside requests for information, including production of documents in response to law enforcement, subpoenas, and litigation requests for production
  • Responsible for the execution of settlement checks
  • Formatting of large contractual documents and presentations, including management of Adobe e-sign software
  • Maintaining Legal Department files in a SharePoint or other database that serves as a repository for all matters handled by the Legal Department
  • Creating and revising correspondence, contracts and other legal documents (knowledge of higher formatting functions in Word, e.g. automatic numbering, headers/footers, etc. is a must) under the direction of the attorneys
  • Other document processing--in particular, PowerPoint presentations, Excel spreadsheets, and data/records management
  • Manage complex and ever-changing schedules
  • Coordinate domestic and international travel and handle travel expenses
  • Facilitate domestic and international client and internal meetings for attorneys
  • Collaborate with internal teams; monitor and respond in a timely manner to high volume of internal and external requests
  • Juggle competing priorities and work with teams to resolve issues
  • Manage expense reporting, legal invoice processing and other general administrative tasks—e.g., mailing, PO processing, copying, etc.
  • Assist with coordination and planning of team events and off-site meetings
  • Small percentage of time dedicated to personal assisting
  • Perform other duties as assigned in response to changing business conditions and/or requirements

What You'll Bring to the Team:

  • Undergraduate degree with strong academic background.
  • Minimum of 5 years' experience as a legal assistant in a top law firm and/or large company setting (both preferred)
  • Knowledge of Microsoft Office 365 SharePoint platform or other web-based document management system is preferred
  • Expert skills in MS Office Suite (Word, Excel, PowerPoint/Outlook) required
  • Ability to work independently and as part of a team
  • Superior attention to detail, proofreading skills and problem-solving capabilities (experience with proof-reading legal documents and contracts, legal memoranda, etc. preferred)
  • Strong time management, organizational and communication skills required; must be able to organize applicable department schedules/timelines and follow up with internal and external customer needs
  • Must show initiative and be willing to take ownership of projects
  • Excellent oral and written communication skills
  • Ability to handle multiple projects, prioritize effectively, be flexible and work in a fast-paced, demanding environment with minimal supervision and rapidly shifting priorities
