Marketing Workflow Coordinator

We are seeking a detail-oriented Marketing Workflow Coordinator to oversee the flow of requests across all marketing pillars: Traffic, Retention, Conversion, and Services. This role ensures every request enters the system, is properly evaluated against strategic priorities, and moves smoothly through to completion.

The Marketing Workflow Coordinator will serve as the "traffic controller" for marketing, balancing competing demands, surfacing blockers, and maintaining visibility into workloads. This role reports to the Director of Marketing Services (Process Owner).

Key Responsibilities

  • Serve as the single point of entry for all marketing requests through Asana.
  • Create and manage tickets on behalf of executives, ensuring intake data is complete.
  • Validate requests, confirm dependencies, and ensure Jira sync for development/product marketing.
  • Coordinate weekly prioritization sessions with pillar leads, applying the scoring framework consistently.
  • Maintain a transparent backlog, ensuring priorities are clear across teams.
  • Track progress, escalate blockers, and adjust priorities as needed in collaboration with leads.
  • Publish dashboards that highlight workload distribution, SLA performance, and missed deadlines.
  • Uphold governance rules while streamlining workflows for efficiency.
  • Support continuous improvement of intake, triage, and reporting processes.

Qualifications

  • 3–5 years of experience in workflow coordination, traffic management, or marketing operations.
  • Marketing agency experience is a strong plus.
  • Hands-on experience with Asana, Jira, or similar project management tools.
  • Skilled in cross-team coordination and conflict resolution.
  • Strong organizational and prioritization skills, with a focus on process discipline.
  • Effective communicator with a knack for keeping teams aligned.
