Job Summary

The Construction Project Coordinator plays a crucial support role in the planning, execution, and completion of construction projects. This individual works closely with the Project Manager to ensure all administrative, logistical, and communication aspects of the project run smoothly and efficiently. The Project Coordinator is the hub of information, managing documentation, schedules, and communication among all project stakeholders, including clients, subcontractors, and suppliers.

Duties and Functions

  • Maintain and organize all project documentation, including contracts, submittals, RFIs (Requests for Information), change orders, and meeting minutes.
  • Assist the Project Managers in preparing and tracking project budgets and invoices.
  • Process and track purchase orders for materials and services.
  • Ensure all necessary permits, licenses, and insurance certificates are current and on file.
  • Serve as the primary point of contact for project-related inquiries from subcontractors, vendors and clients.
  • Handle OCCIP and CCIP paperwork and enrollment.
  • Manage the billing and payment process through GC pay applications and the Textura and other platforms, and follow-up to assist in the AR process of collections.
  • Works with the AR and AP teams to compare invoices across multiple platforms (ProCore and Netsuite) to ensure bills correctly match services rendered and supplies ordered.
  • Schedule and coordinate project meetings and distribute meeting minutes in a timely manner.
  • Facilitate the flow of information between the office, field and all project stakeholders.
  • Assist in resolving project issues and escalating them to the respective Project Manager.
  • Assist in developing and maintaining the project schedule, tracking key milestones and deadlines.
  • Coordinate the delivery of materials and equipment to the job site.
  • Track and monitor project progress against the established timeline.
  • Collect, review and process subcontractor and vendor invoices and payments.
  • Ensure all required paperwork, such as lien waivers and certified payroll, is submitted correctly.
  • Assist with the bidding process by compiling and distributing bid packages.
  • Assist the Project Managers in ensuring project standards and quality requirements are met.
  • Help maintain a safe working environment by ensuring all safety protocols are followed and documented.
  • All other duties as assigned.

Requirements:

  • 2+ years of experience in a project coordination or administrative role within the construction industry preferred.
  • College degree in Construction Management, Engineering or a related field a plus.
  • Strong knowledge of construction processes, terminology, and documentation.
  • Proficiency in project management software (ie. Procore, Buildertrend, Textura, Autodesk and MS Apps).
  • Excellent organizational and time management skills with he ability to multitask and prioritize effectively.
  • Exceptional written and verbal communication skills.
  • Strong attention to detail and a proactive, problem-solving attitude.
  • Ability to work independently and as part of a team in a fast-paced environment.
