and delivering high-quality early learning experiences for children and families in

Pittsburgh and beyond.

Position Summary

The Early Excellence Project seeks a highly organized, detail-oriented, and proactive Part-

Time Executive Assistant to support the Executive Director and leadership team. The

Executive Assistant will play a vital role in ensuring smooth day-to-day operations,

coordinating key projects, managing communications, and supporting the organization's

mission-driven work.

Key Responsibilities

  • Provide direct administrative support to the Executive Director, including scheduling

meetings, managing calendars, and preparing materials.

  • Draft, proofread, and format correspondence, reports, presentations, and other

documents.

  • Assist with meeting coordination, including preparing agendas, taking minutes, and

tracking follow-up tasks.

  • Support the implementation of organizational projects and events, ensuring deadlines are

met and details are executed smoothly.

  • Help organize and maintain internal systems for files, records, and data tracking.
  • Coordinate logistics for meetings, trainings, and special events.
  • Serve as a point of contact for internal and external inquiries, demonstrating

professionalism and excellent customer service.

  • Assist with donor, partner, and stakeholder communications, including emails,

newsletters, and thank-you letters.

  • Support the coordination of board meetings, including materials preparation and

scheduling.

  • Assist with tracking grants, donations, and reporting deadlines.
  • Provide administrative support for program activities, workshops, and outreach events.

Qualifications

  • Minimum 2–3 years of administrative, executive assistant, or operations experience

(nonprofit experience a plus).

  • Strong organizational skills and attention to detail, with the ability to manage multiple

priorities.

  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, Google Workspace, and project management tools.
  • Self-motivated, resourceful, and able to work both independently and collaboratively.
  • Commitment to equity, community impact, and the mission of early childhood education.

Compensation & Schedule

Status: Part-Time (20–25 hours per week)

Hourly Rate: $22 – $28 per hour, commensurate with experience

Flexible schedule with some required availability during standard business hours and

occasional evening events.

Job Type: Part-time

Pay: $ $28.00 per hour

Expected hours: 20 – 25 per week
