Job Summary
The Program Manager oversees the daily operations, staff coordination, scheduling, and overall success of programs across multiple school sites. This role ensures smooth execution of services, manages communications with school partners, supervises internal teams, and maintains critical administrative functions. As the primary point of contact for both internal staff and external stakeholders, the General Manager plays a vital leadership role in the organization's day-to-day function and long-term success.
Key Responsibilities
Daily Operations
Conduct daily check-ins with office admin and off-site staff to address needs, supply requests, time-off coordination, and lesson preparation.
Oversee operations-related needs such as materials purchasing, deliveries, and supply orders.
Maintain active communication with school coordinators/district contacts regarding updates, scheduling, staffing, or issue resolution.
Ensure staff performance and presence align with expectations; address immediate concerns as they arise.
Weekly Responsibilities
Review completed weekly programming and prep for the upcoming week in terms of staffing, lessons, and materials.
Monitor on-site needs and assist with adjustments or troubleshooting when necessary.
Monthly Responsibilities
Oversee lesson planning and ensure curriculum is distributed to instructors on time.
Manage supply packing timelines and ensure timely delivery of monthly materials.
Host and facilitate monthly staff trainings.
Conduct semester-end performance reviews and evaluations.
Prepare seasonal proposals for new school years, semesters, or program launches.
Coordinate seasonal events and showcases.
Leadership & Management
Supervise and support office admin and broader staff network.
Step in to assist with hiring, interviews, and onboarding when needed.
Coordinate internal communications and maintain team alignment across campuses.
Lead performance discussions and ensure high staff morale and accountability.
External Relations
Serve as the liaison with school district contacts and school-based coordinators.
Build and maintain strong professional relationships with external partners.
Manage client or parent communications, including handling escalated concerns or complex situations.
Finance & Administration
Expense tracking for programs.
Oversee vendor relationships, procurement, and ordering processes.
- Maintain organized systems in Google Drive to manage operations, lessons, documents, and schedules.
Key Skills & Qualifications
Strong organizational skills and attention to detail
Effective multitasker and problem-solver
Excellent written and verbal communication skills
Professional demeanor and ability to thrive in fast-paced environments
Proficient with Google Drive (Docs, Sheets, Forms, etc.)
Background in team leadership, operations, or program management
Goal-oriented and proactive in anticipating needs
Preferred Experience
3–5+ years in a management or leadership role, preferably in education, enrichment, or service-based organizations
Experience coordinating multiple sites or teams
Familiarity with working in partnership with schools or community organizations
Background in sales, customer service or education is preferred
