The
Executive Assistant
provides high-level administrative and strategic support to senior leadership in a fast-paced, dynamic environment. This role demands exceptional organizational skills, discretion, and the ability to anticipate needs to ensure seamless daily operations. As a key partner to the executive team, the Executive Assistant contributes to operational efficiency, supports digital transformation initiatives, and fosters alignment across departments.
Key Responsibilities
Calendar & Travel Management
- Strategically manage complex calendars across multiple time zones.
- Coordinate travel arrangements and prepare detailed itineraries.
- Ensure timely scheduling and minimize conflicts.
Communication & Documentation
- Draft and edit executive-level correspondence and reports.
- Act as liaison between executives, internal teams, and external stakeholders.
- Maintain confidentiality and professionalism in all communications.
Meeting & Event Coordination
- Organize executive meetings, develop agendas, and track action items.
- Plan and execute leadership events and company-wide initiatives.
Operational Support & AI Integration
- Manage expense reports, purchase requests, and budget tracking.
- Leverage AI tools to automate tasks and generate insights.
- Maintain audit-ready documentation and ensure policy compliance.
Qualifications
Minimum Qualifications
- Minimum 5 years' experience supporting C-suite or senior executives.
- Exceptional written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite, Teams, and Power BI.
- Strong organizational and time-management skills.
- High level of professionalism, integrity, and emotional intelligence.
- Experience with AI platforms.
- Familiarity with LinkedIn, X, and Instagram.
Preferred Qualifications
- Workday experience
- Experience in transportation, logistics, or operations.
- Ability to create executive dashboards and performance reports.
- Proven success in event planning and project coordination.
- Experience using AI tools for scheduling, writing, or data analysis
