We're looking for an
ABA Intake Coordinator / Intake Department Lead
to take ownership of our intake operations. This is a hands-on leadership opportunity to help
develop, organize, and manage our intake department
as we continue to grow.
Position Overview
The Intake Department Lead will oversee all aspects of client onboarding — from the initial inquiry through authorization and scheduling. This role requires strong organization, leadership, and communication skills. The right candidate will have both administrative expertise and a process-oriented mindset to streamline workflows and build systems for success.
Key Responsibilities
- Manage the intake process from referral to service start, ensuring a smooth and supportive experience for families.
- Oversee all client documentation, insurance verification, authorizations, and onboarding steps.
- Develop and implement efficient intake procedures and tracking systems.
- Collaborate closely with clinical, scheduling, and administrative teams.
- Train and supervise future intake team members as the department grows.
- Maintain compliance with payer and state requirements.
- Communicate professionally and compassionately with families and providers.
- Report on department metrics and progress to leadership.
Qualifications
- Required:
Experience in healthcare or ABA intake, coordination, or case management. - Preferred:
Familiarity with ABA funding sources, insurance processes, and EMR systems. - Strong organizational and multitasking skills.
- Excellent verbal and written communication.
- Self-starter with the ability to work independently and build systems from the ground up.
- Passion for helping families access quality ABA services.
