What you'll do

  • Supervise and train front desk staff to deliver top-notch customer service and maintain a welcoming environment.
  • Manage multi-line phone systems, ensuring all calls are answered promptly and professionally.
  • Oversee scheduling and calendar management for appointments, meetings, and events.
  • Handle administrative tasks including data entry, filing, and proofreading documents to ensure accuracy.
  • Utilize QuickBooks for bookkeeping tasks and maintain financial records with precision.
  • Implement effective organizational strategies to streamline office operations and enhance efficiency.
  • Provide bilingual support to cater to diverse clientele, ensuring clear communication at all times.
  • Foster a positive team culture by encouraging collaboration and continuous improvement among staff members.

Experience

  • Proven experience in front desk management or similar roles within an office environment.
  • Strong customer service skills with a focus on creating positive experiences for clients and visitors.
  • Proficiency in Microsoft Office Suite and Google Workspace for document creation and management.
  • Familiarity with clerical duties such as filing, typing, and data entry to maintain organized records.
  • Excellent phone etiquette coupled with strong communication skills in both verbal and written formats.
  • Demonstrated ability to manage time effectively while juggling multiple tasks in a fast-paced setting.
  • Previous experience as a dental or medical receptionist is highly desirable but not mandatory.
  • A background in personal assistance or office management will be considered an asset.
