Job Description

We are seeking an Office Administrator to perform a variety of administrative tasks supporting both AccountsPayable (AP) and Accounts Receivable (AR) functions, as well as general office operations. The ideal candidate will be highly organized, detail-oriented, and able to manage multiple priorities within set deadlines. This role requires a positive, professional demeanor and strong communication skills to effectively interact with colleagues, customers, and vendors.

Responsibilities:

  • Serve as a point of contact by handling a moderate volume of incoming calls from customers and vendors, ensuring accurate routing and professional communication.
  • Receive and input customer orders with accuracy and attention to detail to ensure proper invoicing.
  • Monitoring Accounts Receivable (AR) to ensure all customer statements are paid in full.
  • Processing AR payments in the forms of Check, ACH, Credit Card and Wire Transfer.
  • Process credit card refunds and invoice corrections.
  • Accurately enter in AP bills into our ERP and have them prepared for weekly check runs.
  • Accurately file AP and AR documents both physically and electronically in timely manner.
  • Responding to internal company emails and phones calls in a professional and timely manner
  • Updating customer and vender accounts and requests.
  • Provide first-level IT support by diagnosing and resolving minor issues, ensuring smooth daily operations.
  • All other duties as assigned

Qualifications:

  • High school diploma, with an associate or bachelor's degree preferred.
  • Experience with ERPs, Outlook 365, and Microsoft Office; specifically Excel.
  • Strong verbal and written communication skills along with outstanding interpersonal skills.
  • Self-motivated with strengths in time management, organization, and attention to detail.
  • Ability to handle conflict and perform comfortably in a changing, fast paced environment.
  • Must be a team player: We value teamwork, a positive attitude, and the willingness to do what is needed for our customers and our business
