Job Description: Executive Assistant to Managing Partner

Status of Position: Full Time Non-Exempt

Reports to: Managing Partner

Location: Corporate Office Birmingham, MI

The Executive Assistant will provide high-level administrative support to the Managing Partner and senior staff.
The Executive Assistant manages the day-to-day aspects of our Executive Managing Partners' businesses and aids as required for several different companies.

Key Responsibilities

·      
Provides high-level administrative support and assistance to the Managing Partner and/or other assigned leadership staff.

·      
Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents.

·      
Populating and producing multiple reports daily.

·      
Maintain overview to reduce and avoid potential conflicts on Executives multiple calendars.

·      
Travel preparations include but not limited to; domestic/ international airfare, accommodation, transport and itineraries.

·      
Maintain the strictest of confidentiality with sensitive information and communication.

·      
Act as liaison between leadership, staff and clients.   

·      
Licensing compliance.

·      
Records income and expense accruals, amortize prepaid accounts, download all bank statements, reconcile accounts, and reconcile GL accounts.

·      
Provide documentation and information to outside CPA firms for tax preparation for businesses.

·      
Assist other departments as necessary and other duties as assigned.

·      
Manages incoming and outgoing packages (FedEx/UPS/USPS)

·      
Light cleaning of kitchen area and restocking of supplies throughout office and bathrooms.

·      
Receives incoming mail, communications or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.

·      
Performs office tasks including maintaining records and ordering supplies.

·      
Support and ensure that all tasks assigned are performed in a timely manner.

·      
Answers incoming calls and uses security system to greet visitors while verifying that the visitor has an appointment with a staff member.

·      
Additional administrative duties as needed.

·      Strong computer skills.

·      Timeliness and attendance.

·      Responsible, trust-worthy, with the ability to problem solve independently.

·      Effective at multi-tasking and prioritization.

·      Meticulous attention to detail.

·      Proven oral, written, telephone and presentation skills. Strong interpersonal skills.

·      Insurance licensing compliance a plus but not required.

Education/Experience/Licenses/Certificates:

·      High School Diploma or GED.

Physical Demands

·      Sit for long periods of time

·      Repeat the same movements

·      Use of hands to handle, control, or feel objects, tools or controls

·      See details of objects that are less than a few feet away

·      Understand the speech of another person

·      Speak clearly so listeners can understand

This position is not remote. The individual hired for this position must be in the office Monday-Friday from 9AM to 6PM.

This position requires organizational skill and coordination skills, ability to work independently, quick learner, team player, proactive, goal-oriented, excellent communication, strong writing and analytical skills, and advanced computer skills.
