Accounts Receivable (AR) Manager – Job Description

Position Title: Accounts Receivable Manager

Department: Finance

Reports To: CFO

Position Summary

The Accounts Receivable Manager oversees the company's billing, credit, and collections functions. This role ensures timely and accurate invoicing, effective cash collections, and proper management of customer accounts. The AR Manager supervises the AR team, maintains strong customer relationships, improves processes, and ensures compliance with company policies and accounting standards.

Key Responsibilities

Accounts Receivable Operations

  • Manage the full AR cycle, including billing, cash application, collections, and reconciliation.
  • Ensure timely and accurate issuance of customer invoices, credit memos, and statements.
  • Monitor aging reports and take proactive steps to reduce outstanding receivables.
  • Review and approve adjustments, write-offs, and account reconciliations.
  • Maintain accurate customer account records and documentation.
  • Other responsibilities as assigned.

Collections & Customer Management

  • Develop and execute effective collection strategies to improve cash flow and minimize delinquencies.
  • Serve as the primary escalation point for resolving complex customer billing issues.
  • Oversee customer inquiries, disputes, and payment arrangements.
  • Build and maintain strong customer relationships to support timely payment.

Credit & Risk Management

  • Establish and maintain credit policies, including customer credit evaluations and limits.
  • Review financial statements, credit reports, and payment history for credit decisions.
  • Monitor high-risk accounts and take appropriate action to mitigate financial exposure.

Financial Reporting & Compliance

  • Prepare weekly, monthly, and quarterly AR reports, including aging analysis and cash forecasts.
  • Support month-end, quarter-end, and year-end close processes.
  • Ensure compliance with internal controls, company policies, contracts, and GAAP standards.
  • Assist with internal and external audits by providing required documentation.

Process Improvement & Systems

  • Identify inefficiencies and implement process improvements to streamline AR workflows.
  • Collaborate with IT or systems teams to maintain and enhance ERP and billing systems.
  • Develop and maintain AR standard operating procedures (SOPs).

Team Leadership

  • Supervise, train, and mentor AR staff.
  • Set clear expectations, provide ongoing feedback, and conduct performance evaluations.
  • Ensure effective workload distribution and adherence to deadlines.

Qualifications

Education & Experience

  • Bachelor's degree in Accounting, Finance, Business, or related field preferred.
  • 5+ years of accounts receivable experience, with at least 2 years in a supervisory or management role.
  • Experience with ERP systems (e.g., NetSuite, SAP, Oracle, QuickBooks, Microsoft Dynamics).
  • Industry-specific experience (manufacturing, distribution, logistics, construction, etc.) preferred if needed.

Skills & Competencies

  • Strong knowledge of AR processes, credit principles, billing requirements, and GAAP.
  • Excellent communication, negotiation, and customer service skills.
  • Strong analytical skills and problem-solving abilities.
  • High attention to detail and accuracy.
  • Ability to thrive in a fast-paced environment and manage multiple priorities.
  • Proficiency in Excel and financial reporting tools.

Work Environment

  • Office-based or hybrid schedule depending on company policy.
  • Ability to work extended hours during peak periods as needed.

Compensation:

$100,000.00 to $115,000.00
