SUMMARY

Bering Straits Native Corporation is seeking a qualified shareholder or shareholder descendant to join our Anchorage office as a Shareholder Development Administrative Assistant—a key role that serves as the first point of contact for the Shareholder Development department. This position is responsible for managing incoming calls and emails related to programs such as the descendant registry, scholarships, summer internships, and workforce development, while also performing a variety of administrative and project-based tasks. The ideal candidate will be organized, professional, and collaborative, working closely with team members across the department and the broader organization to support and enhance shareholder services.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Answer phone calls to assist shareholders calling into the department.

  • Direct calls to appropriate Shareholder Development or BSNC departmental staff.

  • Take and relay clear, accurate messages in a timely manner.

  • Manage voicemails and follow up in a timely manner.

  • Assist with managing Shareholder Development email inboxes.

  • Sends, receives, and responds to emails in a timely manner.

  • Assists shareholders with forms and paperwork.

  • Provide basic assistance navigating the website for job applications, scholarship applications, descendant registry, and shareholder-owned business registry for shareholders.

  • Maintain paperwork and filing systems electronic or physical.

  • Help department personnel with overflow work or special projects.

  • Assist with coordinating and participating in office or outreach events.

  • Operates telephone, fax machine, copiers, etc.

  • Checks department internal mailbox and fax machine regularly for mail and paperwork directed to Shareholder Development.

  • Performs general offices duties or other duties as assigned.

QUALIFICATIONS - EXPERIENCE, EDUCATION AND CERTIFICATION

Required (Minimum Necessary) Qualifications

  • BSNC Shareholder or Shareholder Descendant

  • High school diploma or equivalent General Educational Development (GED) certificate.

  • A minimum of two (2) years' experience in general office setting.

  • A minimum of one (1) year experience providing customer service.

  • Excellent communication, interpersonal, professional, and organizational skills.

  • Computer related experience to include proficiency with Microsoft (MS) MS Word, MS Excel, MS Outlook, and Office365.

  • Position requires punctuality and dependability to satisfy job requirements.

  • Excellent time management and organizational skills

  • Ability to multitask and prioritize effectively

  • Detail-oriented and proactive

  • Comfortable with office equipment and software

  • Able to work independently and as part of a team

  • Experience in administrative or clerical roles

  • Ability to work in a courteous and professional manner while providing customer service and working with other staff.

Preferred

  • Current Notary Public or willing to obtain notary.

  • This position is not subject to federal requirements regarding Department of Transportation "safety-sensitive" functions.

WORK ENVIRONMENT

Work Environment characteristics described here are representative of those that must be borne by an employee to successfully perform the essential functions of this job.

The job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The work described herein is primarily in a modern office setting. Occasional travel may be required.

SUPERVISORY RESPONSIBILITIES

  • No supervisory responsibilities.

ADDITIONAL QUALIFYING FACTORS

As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain the appropriate clearance levels required and be able to obtain access to military installations.
