We're seeking an Administrative Assistant / Office Manager who will play a key role in keeping our firm running smoothly and supporting our partners, professional staff, and clients. This position offers the opportunity to join our dynamic team and contribute to a collaborative, professional, and forward-thinking environment that values both excellence and balance. This role offers an excellent opportunity for individuals with strong office management skills, proficiency in Microsoft Office, and experience in clerical and customer service functions.

Key Responsibilities

  • Front Office Management: Greet clients, answer phones, manage mail, schedule appointments, and maintain the firm's professional appearance.
  • Administrative Support: Provide day-to-day administrative support to partners and staff, including document preparation, e-filing, scanning, and proofreading correspondence.
  • Workflow Coordination: Assist with engagement letters, client onboarding, and electronic signatures (DocuSign).
  • Client Communication: Provide exceptional customer service by supporting clients via phone, email, and in person while serving as the first point of contact for client inquiries,
  • Office Operations: Manage supplies, vendor relationships, and office organization.
  • Technology & Systems: Help maintain and organize client files in SharePoint, support setup in QuickBooks or Lacerte when needed, and coordinate updates with IT support.
  • Event & Scheduling Support: Help coordinate firm meetings, training sessions, and occasional client events.
  • : Support time entry review and accounts receivable follow-up in collaboration with the partners.

Qualifications

  • Prior experience in an accounting, legal, or professional services office preferred.
  • Proficiency in Microsoft Office 365 (Outlook, Word, Excel, Teams, SharePoint).
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication.
  • Ability to multitask and work independently in a fast-paced, professional environment.
  • Positive attitude, reliability, and discretion in handling confidential information.

Preferred but not required:

  • Experience with QuickBooks, Lacerte, or DocuSign.
  • Basic familiarity with accounting terminology or document workflows.

Job Type: Full-time

Pay: $ $24.00 per hour

Expected hours: 40 per week
