Position Overview

We're hiring a bilingual Front Desk Receptionist for our Monroe, NC office. You'll be the first point of contact for clients, setting the tone for their experience from the moment they walk in or call. This role is a mix of front desk, admin support, and client coordination in a fast-paced environment.

Start date: ASAP

Work location: On-site (not remote)

What You'll Do (Key Responsibilities)

  • Greet clients and visitors professionally and connect them with the right team member
  • Answer, transfer, and return calls; manage voicemails and messages
  • Provide basic information about BeeTax services and next steps
  • Manage incoming emails and route them appropriately
  • Schedule appointments and follow up with clients as needed
  • Keep the reception area clean, organized, and client-ready
  • Scan, file, digitize, and organize documents
  • Record task notes and client updates in TaxDome (training provided if needed)
  • Register daily sales/client payments in internal systems
  • Process monthly client charges during the first days of each month
  • Create shipping labels (USPS and other carriers)
  • Draft simple client letters when needed
  • Print/bind accounting books for VIP clients
  • Support online payment follow-ups and basic client tasks
  • Track supplies and alert management when inventory is low
  • Process monthly office utility payments and flag discrepancies
  • Make follow-up calls with potential clients
  • Assist with 1099 support and intake of tax client documentation
  • Maintain strict confidentiality with all client information

What We're Looking For (Requirements)

  • Fully bilingual (English & Spanish) – required
  • High School diploma or equivalent
  • 1+ year experience in reception, admin support, or customer service
  • Front desk reception experience is a big bonus (busy office experience is even better)
  • Comfortable with Microsoft Office, Google Workspace, printers/scanners
  • Tech-savvy and able to learn new systems quickly
  • Strong communication, organization, and time management
  • Reliable, punctual, and professional in presentation
  • Able to prioritize in a high-volume environment
  • Discreet and responsible handling confidential information

Schedule & Pay

  • Pay: $17–$19/hour
  • Schedule: Monday–Friday, 8:00 a.m. – 5:00 p.m.
  • Tax season: Saturdays required
  • Location: On-site in Monroe, NC
