What You'll Own

You'll be the operational backbone of our revenue programs at a mission-driven nonprofit that's been advancing food safety standards for decades. This isn't a job where your work disappears into a corporate bureaucracy—in our three-person team, you'll see immediate results from everything you do.

Your core responsibilities:

Symbol Holder Program (40%) - Manage our certification program from application through renewal. You'll process new certifications, run our annual October renewal cycle, track payments, and serve as the primary contact for manufacturers seeking the 3-A Symbol. When 300+ companies trust us with their certifications, accuracy isn't optional—it's everything.

Database & Systems (20%) - Become our go-to expert on our association management system as we transition to HubSpot. You'll maintain pristine data (we're talking 99%+ accuracy), generate reports that drive decisions, and help implement our technology upgrade. If you've ever thought "there has to be a better way to do this," you'll get to build that better way.

Financial Operations (20%) - Process A/R, generate invoices, track revenue against budget, support our annual audit. You'll work directly with our Executive Director and external accountant to keep our financial operations running smoothly.

Conference Support (20%) - Manage registration logistics for our annual conference using Swoogo platform. Track sponsors and exhibitors, produce registration reports, and provide on-site support during our spring event (3-4 days of travel per year).

What You Need

Required:

  • 2-4 years in operations, administration, or customer service requiring precision
  • Real database/CRM experience (HubSpot, Salesforce, or similar—not just "I've used databases")
  • Advanced Excel skills (pivot tables, VLOOKUP, formulas—you actually use these, not just list them)
  • Track record of accuracy in data and financial work
  • Self-starter who works independently once trained
  • Comfortable learning new technology quickly

Preferred:

  • Event registration platforms (Swoogo, Cvent, Eventbrite)
  • Association or membership program background
  • Bookkeeping or financial systems experience

After your first year, you will have:

  • Processed 100% of applications within 10 business days, with 99%+ accuracy
  • Supported achieving a 92%+ renewal rate through systematic follow-up
  • Generated all monthly reports on time, without errors
  • Mastered all core systems and can troubleshoot independently
  • Earned 4.5/5+ satisfaction ratings from symbol holders you've helped

The Reality Check

This role requires:

  • Training period: First 90 days are full-time in office (Metro Center location)
  • Ongoing presence: 3 days/week in DC office
  • Light travel: 2-3 times per year for event support
  • Fall intensity: Annual renewal cycle requires focus and occasional extended hours
  • Small org flexibility: Sometimes you'll pitch in on things outside your primary role
