Office Coordinator

The Office Coordinatoris responsible for ensuring effective communication, organization, and support across the K-5 out of school program. This position serves as the primary point of contact for CLC communications, assists families through the enrollment process, and ensures staff remain current on training requirements. The Office Coordinator also monitors enrollment and waitlist data, manages supply requests, coordinates transportation schedules, and supports planning for field trips and other program logistics.
Essential Job Functions:
- Full-time position, Monday through Friday, from 8:30 AM to 5:30 PM.
- Serve as the primary point of contact for all Community Learning Center (CLC) communications, ensuring messages are responded to promptly and forwarded to the appropriate parties.
- Communicate with parents and families to gather required documentation, provide updates, and support managers with complete information for wait-to-enroll decisions.
- Track and report enrollment numbers, waitlist status, and job log updates, providing accurate information to K-5 Director/Managers for review and decision-making.
- Coordinate CLC & Harrisburg badge requests for new employees and ensure timely processing.
- Partner with the Employee Experience Director to assess training needs, coordinate trainings, and follow up with staff to ensure timely completion of all required training hours.
- Collaborate with the Scheduling Coordinator to ensure staff coverage needs are met and assist with coverage as needed.
- Partner with the Marketing & Communications Director to order forms and distribute logo wear.
- Receive, process, and track all supply and ordering requests, ensuring timely delivery of materials to sites.
- Act as the main contact for site coordinators for all printing needs, ensuring requests are processed and distributed.
- Coordinate transportation schedules to ensure accuracy and efficiency for program needs.
- Research and present summer field trip opportunities to Managers and the Director for approval, and coordinate transportation logistics once trips are confirmed.
- Maintain organized records and provide regular updates to leadership to support smooth operations and effective decision-making.
- Perform all other duties as assigned by the K-5 Director.
Education and Experience Requirements:
- An associate or bachelor's degree in early childhood education, elementary education or another related field is preferred.
- One or more years of experience in school age care, education, social services, working with underserved populations, or related field is preferred.
- A valid CPR Certification or the ability to obtain and maintain CPR certification within 90 days of employment is required. The Boys & Girls Clubs of the Sioux Empire does provide training for those not certified.
Skills and Knowledge Requirements:
- Strong interpersonal and verbal communication skills.
- Demonstrated ability to take initiative, and to think and work independently with high attention to detail.
- Strong organizational skills with the ability to manage multiple priorities, track details and meet deadlines.
- Proficiency with Microsoft Office Suite and other administrative software; ability to quickly learn internal systems.
Work Environment and Physical Requirements:
- Constant hearing, hand-eye coordination, mind-eye coordination.
- Intermittent speaking, standing, walking, kneeling, lifting, reaching, low-level activity, and squatting.
- Potential exposure to communicable diseases.
- Frequent lifting of objects under 20 pounds, and occasional lifting of items up to 75 pounds.
- Indoor with minimal outdoor work; extreme temperature in the summer and winter can be expected.
