Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant.
The Project Manager Administrative Assistant supports the execution of construction and remodeling projects by working directly with the Project Manager. This role ensures smooth coordination across scheduling, documentation, subcontractor communication, and client updates. Ideal for someone organized, proactive, and comfortable managing multiple tasks in a fast-paced office environment.
Responsibilities
- Assist the Project Manager with daily scheduling, task tracking, and project updates
- Coordinate subcontractor schedules, material deliveries, and job progress reporting
- Prepare and manage change orders, permits, waivers, and inspection records
- Communicate with clients regarding updates, appointments, and post- project follow-ups
- Liaise between field crews, vendors, and office staff to support timely execution
- Help monitor job costs, timelines, and CRM updates under the direction of the Project Manager
Qualifications
- Strong organizational skills with the ability to manage multiple tasks and deadlines
- Excellent written and verbal communication; professional email and phone etiquette
- Proficiency in Microsoft Office Suite (especially Excel, Outlook, and Word)
- Adept at learning and applying new software tools quickly
- Ability to work closely with Project Manager(s) and field teams to support job execution
- Detail-oriented with a proactive approach to problem-solving and follow-through
Job Type: Full-time
