About the Role

We are seeking a highly organized and proactive Executive Support Specialist to provide exceptional administrative and operational support to our Executive Team. This role is ideal for someone who thrives in a fast-paced environment, demonstrates strong attention to detail, and enjoys helping leaders operate efficiently and effectively.

Key Responsibilities

  • Provide daily administrative support to executive leadership.
  • Prepare correspondence, reports, meeting materials, and presentations.
  • Assist with project coordination, tracking deadlines, and supporting departmental initiatives.
  • Serve as a professional point of contact for internal and external stakeholders.
  • Maintain confidentiality and handle sensitive information with professionalism.
  • Gather information from team members and summarize progress for leadership.
  • Support data entry, basic research, and preparation of executive summaries.
  • Perform general administrative duties to enhance department workflows and productivity. 
  • Help manage task lists and ensure deadlines are not overlooked.
  • Other duties as assigned.

Requirements

  • An understanding of (or experience in) administrative, executive support, or office coordination roles.
  • Ability to communicate verbally and in writing, effectively.
  • High level of professionalism and confidentiality.
  • Excellent time management with the ability to prioritize work effectively.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong attention to detail and ability to work independently.
  • Ability to manage multiple tasks in a fast-paced environment.
