Position Overview
The Administrative Support – Insurance Refund Collection role is responsible for supporting the collections team by retrieving, and organizing documentation related to insurance refund requests. This role plays a critical part in ensuring agents have complete and accurate information needed to communicate with healthcare facilities, providers, and other third-party entities. The ideal candidate is detail-oriented, highly organized, and comfortable navigating client systems to locate and prepare documentation efficiently.
Key Responsibilities
Document Retrieval & Management
- Access client systems, databases, and document repositories to locate insurance-related records, explanations of benefits (EOBs), payment details, invoices, and other supporting materials.
- Verify document accuracy and completeness, ensuring information aligns with each refund request.
- Organize and upload required documents into ACE (or designated internal systems) for agent review and submission.
- Locate and confirm the correct accounts where payments should be posted and where overpayments (OVP) can be applied.
Support for Collection Agents
- Communicate with agents regarding missing documents, inconsistencies, or additional information needed.
- Prioritize document requests based on urgency and workflow assignments.
- Ensure timely placement of supporting materials so agents can efficiently pursue refunds.
Quality Control & Compliance
- Follow client-specific and company-specific documentation guidelines and confidentiality standards.
- Perform quality checks to ensure documentation accuracy before submitting to agents.
- Protect sensitive financial and health information in compliance with HIPAA and company policy.
System Navigation & Data Entry
- Navigate multiple client systems, portals, EMRs, or financial platforms to search for needed documentation.
- Enter notes, update task statuses, and maintain accurate records in ACE and other internal systems.
- Assist with data audits or cleanup tasks as requested by management.

Pay: $ $22.00 per hour
