Job Summary:
The Executive Assistant will handle confidential information with maturity and discretion. He/She must have excellent communication and organizational skills, and the ability to prioritize and manage multiple activities with conscientious attention to detail. He/She will be responsible for assisting with planning, organizing, coordinating and implementing administrative functions and special projects within the Offices of Compliance and Privacy. He/She will serves as a liaison between executive staff, managers, physicians, Board of Trustees and the general community that calls the Office of Compliance.

The Executive Assistant will be responsible for duties to support the compliance and privacy teams including scheduling, preparing for and distributing packets for various compliance and privacy committees and councils, and recording and documenting minutes for such committee meetings. Coordinating calendar, tracking key performance indicators and preparing metrics for compliance and privacy office activities. Triaging and inputting compliance and privacy activities, inquiries, and investigations into the compliance and privacy tracking system. Provide basic answers to compliance and privacy inquiries from organizational stakeholders. The Executive Assistant will monitor the activities in the compliance and privacy activities database and follow-up with appropriate stakeholders to help ensure appropriate follow-up is occurring and issues are being timely resolved. The Executive Assistant will work with all departments' enterprise wide to carry out the his/her duties.

Education:
Required:

High school graduate, with two years post high school education or five years of related work experience. General office practice, business communication, or comparable combination of education and experience.

Preferred:
B.S. in business administration or comparable education and experience.

Experience:
Required:

Two to five years of administrative assistant experience in an executive office setting. Knowledge and proficiency of personal computers required, particularly Word, Excel, Outlook, PowerPoint, and basic office equipment. Strong written and verbal communication skills, excellent organizational and planning skills and an aptitude for details. Discretion, diplomacy and confidentiality required.

Department Position Summary:
The Executive Assistant will be responsible for administrative activities including scheduling meetings, ordering supplies, preparing check requests for invoices, preparing correspondence and acting as a liaison between the Offices of Compliance and Privacy and other departments and outside parties including vendors and associations.

The Executive Assistant maintains Departmental Policies and Procedures, Administrative Policies and Procedures, Emergency Preparedness Plan, and performs a wide range of secretarial functions to include typing, filing, computer knowledge, organizational skills, and customer service. The Executive Assistant works with Telecommunications, Technology Management, and Security for work orders and other requests. Other duties include assisting with data research activities, completing spreadsheets, copying and filing.
