We're looking for a
Payroll Specialist
to join our high-performing, collaborative payroll team. In this role, you'll ensure accurate and timely multi-state payroll processing for approximately 1,000 employees across multiple company codes. You'll manage complex payroll components, maintain compliance with federal and state regulations, and provide responsive support to employees while helping streamline payroll operations.

What You'll Do

  • Process biweekly or weekly payroll for multiple states and company codes in ADP Workforce Now.
  • Validate hours, earnings, deductions, and tax withholdings prior to payroll submission.
  • Manage employee payroll records, including new hires, transfers, terminations, direct deposits, and tax setups.
  • Administer and audit shift differentials, spiffs, commissions, bonuses, and incentive pay.
  • Reconcile payroll registers to source documentation for accuracy.
  • Audit imported time data and resolve discrepancies with managers and HR business partners.
  • Process final pay and payroll corrections in line with federal and state laws.
  • Maintain compliance with FLSA, IRS, and multi-state payroll tax regulations.
  • Process and manage garnishments, child support, and other court-mandated deductions.
  • Respond promptly to employee payroll inquiries with professionalism and confidentiality.
  • Prepare and distribute payroll reports for Finance, HR, and Operations leadership.
  • Support quarterly and annual reporting, including W-2 processing, payroll tax filings, and audits.
  • Partner with Payroll Manager and Director of Enterprise Payroll to enhance processes and automation.
  • Assist with M&A payroll processes.
  • Represent the company with professionalism, integrity, and excellent customer service.
  • Follow all company policies and applicable laws.
  • Work overtime as necessary; travel up to 5% of the time.

Requirements-
What We're Looking For

  • 3-5 years of end-to-end payroll processing experience in a multi-state environment.
  • Proficiency in ADP Workforce Now, including reporting and time & attendance.
  • Strong understanding of federal and state wage and hour regulations, including overtime, bonuses, and pay differentials.
  • Experience processing payroll across multiple FEINs and company codes.
  • Intermediate to advanced Excel skills (pivot tables, lookups, conditional formulas).
  • High attention to detail, confidentiality, and analytical problem-solving ability.
  • Excellent interpersonal and communication skills.
  • Ability to work independently and in a team environment.

Preferred Knowledge / Experience-

  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred.
  • Prior experience in energy, logistics, construction, or distribution industries.
  • Experience supporting system upgrades or integrations within ADP.
  • Exposure to process improvement methodologies (Lean, Six Sigma).

Technical Skills-

  • Payroll Systems (ADP Workforce Now): Multi-company setup, batch imports, pay data entry, retro pay, and custom pay codes.
  • Payroll Processing: End-to-end execution, auditing pre-process reports, and running final payroll.
  • Multi-State Payroll & Taxation: Compliance with jurisdiction-specific wage and tax laws.
  • Differentials & Incentives: Administering shift differentials, spiffs, bonuses, and commissions.
  • Time & Attendance Integration: Validating time imports from ADP Time, Kronos, or other systems.
  • Reporting & Analytics: ADP Custom Reports, Excel (VLOOKUP, PivotTables).
  • Compliance Knowledge: FLSA, IRS, DOL, and state wage laws.
  • Year-End Processing: W-2/W-3, ACA reporting, bonus taxation.
  • Audit & Internal Controls: Maintaining compliance documentation.
  • Import/Export Templates: Managing bulk payroll data via CSV or XML.
  • Security & Data Privacy: Ensuring role-based access and protecting PII.
