Reports To: VP, Collection Management Services

JOB SUMMARY

The Shipping Coordinator oversees all shipping and receiving operations for the Collection Management Services (CMS) department in our Bethlehem, PA office. This role is crucial for managing the accurate receiving, inventory, and processing of incoming client materials, as well as the secure packaging and timely shipment of outgoing materials to libraries nationwide. The Coordinator is responsible for ensuring accuracy and adherence to detailed, client-specific shipping requirements across all workflows. This position requires strong organization, attention to detail, and may involve supervising a small staff to support shipping and receiving efforts as operations grow. The Coordinator also provides essential operational support, including assisting with physical processing, inventory management for equipment, and occasional travel for material pickups and deliveries.

KEY RESPONSIBILITIES

  • Manage the receiving, inventorying, and tracking of incoming and outgoing client packages and materials.
  • Coordinate and supervise shipping workflows to ensure strict accuracy, timeliness, and adherence to client-specific requirements.
  • Oversee the inventory and shipment of equipment used for on-site projects, ensuring proper deployment, return, and readiness for future assignments.
  • Organize and maintain efficient storage space for client materials and project equipment.
  • Travel occasionally to make in-person pickups and drop-offs of customer materials at client institutions using the company van.
  • Run occasional errands related to shipping and client needs.
  • Provide support for project-based tasks as needed, such as book scanning and other operational activities.

REQUIRED QUALIFICATIONS

  • Education: High school diploma or equivalent (GED).
  • Physical Ability: Ability to lift and carry up to 60 lbs. repeatedly throughout the day and stand for extended periods.
  • Logistics & Detail: Exceptional organizational skills and meticulous attention to detail, especially in inventory management.
  • Skills: Strong proficiency with Microsoft Excel and excellent problem-solving skills.
  • Aptitude: Ability to follow detailed instructions and work efficiently under deadlines.
  • Driving: Must hold a valid, unrestricted driver's license and maintain a clean driving record throughout employment.
  • Commitment: Must be punctual, dependable, and able to work harmoniously with colleagues.

PREFERRED QUALIFICATIONS

  • Experience with UPS' WorldShip software or similar professional shipping platforms.
  • Prior experience supervising a small team or directing the work of others.
  • Experience handling sometimes fragile cultural heritage materials (Books, manuscripts, etc.).
  • Familiarity with basic library metadata/cataloging terminology and standards (e.g., MARC, RDA).
