Our agency is looking to fill a full-time, permanent Office Assistant (OA3) vacancy within the Community Corrections Division. This position works for Section 3's Graduated Reentry (GRE) located at 6135 Martin Way East, Lacey, WA.
Under general supervision of a Community Corrections Supervisor (CCS), this position performs direct clerical/secretarial support to the CCS and performs file management and routine, advanced clerical tasks for Graduated Reentry (GRE). Working independently, you will perform a variety of complex clerical projects and assignments. Work hours: Monday-Friday, 8:00 am to 5:00 pm.

DutiesProvide direction clerical and secretarial support to the Community Corrections Supervisor (CCS).
- Prepare and finalize staff meeting agendas, meeting minutes, and confidential correspondence.
- Maintain emergency contact rosters and emergency desk manual.
- Assist with the hiring process and perform project work for the CCS as requested.
Manage and maintain electronic and physical files.
- Database entry and retrieval from various systems, such as OMNI (Offender Management Network Information), WA Crime Information Center (WCIC), National Crime Information Center (NCIC), and OnBase.
- Archive closed files.
Support office operations.
- Manage key control and accountability and manage building issues.
- Pay bills and order and receive office equipment and supplies.
- Manage and coordinate fleet vehicles for maintenance and mileage reports.
- Coordinate and manage landlines.
- Serve as the office safety person and assist support staff as needed.
Other duties as assigned.
QualificationsRequired Qualifications
- High school diploma or GED equivalent.
- Six months of clerical and/or customer service experience.
The successful candidate will possess the following skills and abilities:
- Maintain regular and reliable attendance.
- Must respect and maintain confidentiality.
- Ability to assist individuals with various criminal backgrounds.
- Ability to create, modify, print, and format spreadsheets, find and replace data, and work with basic formulas.
- Ability to proofread written material and identify and correct errors in sentence structure, grammar, punctuation, and spelling.
- Ability to navigate the internet and intranet for DOC and offender related information.
Desirable Qualifications
- Associate degree or higher from an accredited college or university whose accreditation is from the US Department of Educations or the Council for Higher Education Accreditation (CHEA) or foreign equivalent.
- Four years or more of progressive clerical experience in an office setting.

- Salary is based on experience and is determined at the time an offer of employment is made. The salary listed in the job posting includes Steps A-M. Step M is a longevity step and is typically gained six years after being assigned to Step L in your permanent salary range.

Telework Details
This position may be allocated for telework for up to one day each week. If approved, work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hot spot service at that time. Employees are expected to perform assigned duties in a safe manner; to take proper care of all state-issued equipment; and maintain confidentiality of all information in possession while working offsite. Employees will be required to commute to a Department of Corrections facility or field office as business requires to potentially include components of the onboarding process.
