Scheduling and Purchasing Coordinator

The Scheduling and Purchasing Coordinator keeps projects moving by owning the day-to-day schedule and the flow of materials. You'll build and maintain crew/sub schedules, coordinate deliveries, and procure the right products at the right time—all while communicating updates to Sales, Operations, field teams, fabrication, and vendors. The ideal candidate is detail-driven, calm under pressure, and thrives in a fast-paced construction environment with multiple concurrent priorities.
Key Responsibilities
Scheduling & Coordination
- Build, publish, and adjust daily/weekly schedules for installations, repairs, and service work in alignment with Sales and Operations.
- Assign crews/subcontractors based on availability, skills, and job requirements; confirm site readiness and job details.
- Coordinate deliveries, will-calls, and staging to ensure materials and equipment are on site when needed.
- Track project progress, resolve conflicts, and communicate schedule changes to all stakeholders (PMs, superintendents, sales, fabrication, subs, and homeowners/GCs as needed).
- Maintain an accurate "single source of truth" for job status, target dates, and constraints (permits, inspections, lead times, weather).
- Release daily job packs and allocate materials to job accounts (Epicor) in coordination with dispatch.
Purchasing & Inventory
- Prepare, process, and verify purchase orders based on approved scopes and schedules.
- Source pricing, product details, and lead times; expedite delayed orders to keep work on track.
- Maintain inventory accuracy (yard, warehouse, Conex) and coordinate cycle counts.
- Track tool/equipment rentals and returns; reconcile delivery tickets with AR.
- Purchase shingles, flat-roof materials, gutter/metal orders, accessories, and general inventory items.
- Enter and manage transactions within AccuLynx and related systems; keep vendor and item data current.
- Resolve basic issues related to returns, exchanges, credits, and substitutions.
Operational Support
- Partner daily with field crews, superintendents, project managers, sales, and the fabrication shop to remove roadblocks.
- Identify risks (material constraints, schedule clashes, weather impacts) and escalate early with solutions.
- Support other operations and continuous-improvement projects as assigned.
Qualifications
Education
- Required: High School Diploma
- Preferred: Associate's or Bachelor's in Business, Supply Chain, Construction Management, or related field
Experience
- 2+ years in scheduling/dispatch, purchasing, logistics, or construction supply (roofing/construction experience preferred)
Skills & Competencies
- Proven ability to build and manage schedules and adjust in real time
- Strong organization, follow-through, and problem-solving; comfortable juggling many moving parts
- Clear, proactive communicator—written and verbal—with a customer-service mindset
- Proficiency in Microsoft Excel, Word, Outlook
- Familiarity with ERP/CRM systems (AccuLynx preferred); Epicor experience a plus
- Basic construction math and material knowledge; ability to read scopes/POs
- Bilingual (English/Spanish) a plus
Physical & Sensory Requirements
- Ability to lift and handle moderate to heavy materials as required
- Visual acuity for close work, distance, depth perception, and peripheral vision
- Frequent standing, walking, lifting, and typing
