Position Summary

The Project Controls Coordinator will establish and oversee the new Project Controls Department at Cross Construction. This role will build and standardize systems for estimating, budgeting, procurement, and vendor management across residential and installation projects.

Key Responsibilities

Vendor Management & Administrative Support

Lead the onboarding process for new vendors, including collecting required documentation and issuing customized Vendor Welcome Packets outlining project expectations and communication standards.

Maintain an up-to-date and well-organized vendor database, ensuring all insurance certificates and credentials are valid and compliant.

Regularly follow up with vendors for updated documentation and ensure all files are properly stored and accessible.

Bid Preparation & Estimating

Prepare and organize bids for residential and installation projects.

Collaborate with project managers, designers, and architects to clarify project scope and identify cost impacts.

Develop and maintain standardized pricing templates for estimating and proposals.

Ensure bid accuracy, completeness, and timely submission.

Change Order Management

Process and track change orders from initial request through approval.

Coordinate with internal stakeholders and clients to confirm scope changes and pricing adjustments.

Maintain accurate documentation and reporting of all project changes.

Procurement & Purchase Orders

Issue and track purchase orders (POs) for materials and subcontractor services.

Monitor vendor delivery schedules to ensure materials arrive on time and within budget.

Verify that all purchases align with approved budgets and contract terms.

Budget Tracking & Controls

Develop and maintain project cost tracking tools.

Support project managers in monitoring actual vs. budgeted costs.

Provide regular reporting on project financial performance and material utilization.

Process Development & Standardization

Create and implement department workflows, templates, and SOPs to improve efficiency and consistency.

Identify opportunities to streamline bid, procurement, and reporting processes.

Maintain up-to-date knowledge of construction pricing trends and materials.
