About Us

Tomb Farm LLC is a small, family-owned Scottish Highland cattle operation focused on ethical livestock management, land stewardship, and sustainable agricultural practices.

Highland Geosciences LLC is a hydrogeologic and agricultural consulting firm providing technical services in groundwater studies, environmental site assessments, agricultural land evaluations, and related geoscience work.

We are seeking a highly organized, motivated Administrative Assistant to support both businesses through a shared, dual-role position. This individual must be comfortable switching between agricultural/farm-related tasks and professional consulting support work.

Key Responsibilities

Support for Tomb Farm LLC (Scottish Highland Cattle Farm)

  • Manage farm-related administrative records (animal inventory, breeding records, veterinary and regulatory documentation).
  • Assist with scheduling farm operations, deliveries, and equipment service.
  • Handle customer communication regarding livestock sales, farm visits, or product inquiries.
  • Help maintain digital and paper filing systems.
  • Support basic bookkeeping tasks (invoices, receipts, expense tracking).
  • Update website and social media posts as needed.

Support for Highland Geosciences LLC (Consulting Firm)

  • Assist with drafting, formatting, and proofreading technical reports, proposals, and project correspondence.
  • Manage project files, contracts, and documentation workflows.
  • Schedule client meetings, fieldwork appointments, and travel logistics.
  • Prepare invoices, track expenses, and maintain financial records.
  • Collect, organize, and input data into spreadsheets or project management tools.
  • Support marketing efforts (website updates, social media, capability statements).

Required Skills & Qualifications

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and PDF editing tools.
  • Ability to learn new software quickly (FreshBooks, GIS viewers, CRM tools, etc.).
  • Comfort working with minimal supervision and managing variable weekly tasks.
  • High attention to detail and accuracy.
  • Professionalism when interacting with clients, vendors, and customers.

Preferred (Not Required)

  • Familiarity with agriculture, cattle operations, or animal husbandry.
  • Familiarity with state and federal agricultural agencies (e.g. conservation districts and NRCS).
  • Experience in environmental, hydrogeologic, or agricultural consulting fields.
  • Experience with bookkeeping software (e.g., FreshBooks Online).
  • Social media or website management experience.
  • Basic GIS experience or comfort reviewing maps.
  • Experience in marketing.

Work Environment

This position is intended to be hybrid, with most work done remotely. Occasional onsite visits to Tomb Farm LLC may be required for recordkeeping tasks, inventory checks, or coordination of farm activities. Hours can be flexible, with options for part-time or full-time depending on the candidate.
