JOB DESCRIPTION:

We are seeking a highly organized, resourceful, and proactive Office Manager to lead the setup and ongoing management of our new office in Nashville, AR. This is a dynamic role ideal for a self-starter who thrives in an evolving environment. As the first point of contact for the Nashville location, the Office Manager will play a critical role in ensuring daily operations run smoothly while supporting a growing team.

This role will act as a bridge between the Nashville office and our other established locations, handling a variety of responsibilities ranging from general office and supply management to basic case coordination, customer service, and vendor relations.

KEY RESPONSIBILITIES:

Office Setup & Daily Operations

  • Lead and manage all aspects of initial office setup, including procurement of furniture, technology, supplies, and vendor coordination.
  • Maintain inventory and oversee routine ordering of office and medical supplies.
  • Organize and maintain a clean, functional, and welcoming office environment.

Administrative Support

  • Answer and direct incoming phone calls and emails in a professional manner.
  • Handle scheduling and calendar management for providers or leadership as needed.
  • Assist in light case management duties including appointment coordination, chart tracking, and follow-up communication.
  • Prepare and order meals for team events, meetings, or celebrations.

General Inventory Support:

  • Assist the Supply Chain Manager in various inventory-related tasks, such as cycle counting, physical inventory, and stock rotation.
  • Maintain a clean and organized inventory storage area.
  • Coordinate with other departments (i.e., clinical staff) to ensure timely delivery of inventory items.
  • Participate in inventory process improvement initiatives.

Liaison & Communication

  • Serve as a communication hub between the Nashville location and other corporate or clinical sites.
  • Facilitate consistent information flow and ensure company standards and processes are upheld locally.
  • Support onboarding of new team members and help integrate them into company culture.

Vendor & Event Coordination

  • Provide high-quality customer service to patients, vendors, and guests.
  • Resolve minor issues independently and escalate concerns as needed.

QUALIFICATIONS:

  • 3+ years of office management or administrative experience; healthcare or clinic experience preferred.
  • Exceptional organizational, communication, and multitasking skills.
  • Comfortable working independently in a startup-style environment.
  • Experience coordinating with vendors and managing supply inventory.
  • Proficient in Microsoft Office Suite and general office technologies.
  • Friendly, flexible, and solutions-oriented with a "no job too small" mindset.

Job Type: Full-time

Pay: $52, $55,000.00 per year
