Job Summary
The Senior Facilities and Administrative Specialist plays a key role in ensuring the smooth and efficient operation of the Houston office and plant facilities. This position serves as the primary contact for facilities management, vendor coordination, contracts, procurement, and overall administrative operations. The role requires a highly organized, proactive, and detail-oriented professional who can oversee office and plant systems, manage vendor relationships, and provide strategic recommendations on contracts and procurement to management.
This position is ideal for someone with strong administrative, operational, and negotiation skills who thrives in a fast-paced environment. Bilingual ability (English/Chinese) is preferred but not required.
Duties and Responsibilities
- Serve as the primary contact for all facilities-related matters, including maintenance, repairs, and vendor coordination, for both office and plant facilities.
- Oversee smooth operations of office and plant facilities, including technology systems setup and overall facilities management.
- Coordinate with vendors and contractors to ensure high-quality service, compliance, and timely completion of tasks.
- In charge of providing services to the local staff pertaining supplies, and coordination of office equipment maintenance
- Manage contract review, procurement processes, and negotiations, providing recommendations to management for approval of vendor agreements and terms.
- Review and process vendor invoices, ensuring timely and accurate payments.
- Schedule and coordinate meetings, travel, and other group activities; manage travel systems, expense reporting, invoicing, and office supply inventory.
- Arrange logistical support for visitors, including transportation, lodging, and other needs.
- Maintain comprehensive facility documentation, including service logs, inspection reports, and vendor records.
- Other duties as assigned.
Education and Experience
- Associate degree or equivalent experience in Facilities Management, Administration, Procurement, or a related field.
- Minimum 3–5 years of experience in senior administrative coordination, facilities operations, procurement, or vendor management preferred.
- Bilingual (English and Mandarin Chinese) preferred but not required.
- Valid driver's license and ability to drive required.
- Proficient in Microsoft Office (Excel, Word, Outlook) and digital communication tools.
