The Office Administrator serves as a key support partner across all levels of management—hourly, salaried, and executive—ensuring smooth communication and efficient coordination throughout the facility. This role is responsible for managing day-to-day administrative operations, maintaining accurate documentation, preparing reports, and assisting leadership with scheduling, correspondence, and company initiatives. The Office Administrator helps connect production, HR, safety, maintenance, and leadership teams to keep operations running seamlessly.

  • Comply with all company policies, practices and procedures.
  • Performing office and administrative duties to assist all levels of management.
  • Receptionist duties include screening calls, managing calendars, and making travel arrangements.
  • Supporting Payroll & Benefits by assisting with timekeeping and other related documentation.
  • Supporting Accounts Payable by accurately processing, filing, and maintaining invoice and payment records.
  • Prepare and maintain records, reports and filing systems (both digital and physical) in compliance with company policies and record keeping standards.
  • Data entry duties as assigned.
  • Coordinate and manage correspondence, including emails, memos, and announcements. While maintaining professionalism and confidentiality.
  • Position will be responsible for meeting and event arrangements, ordering catering, and local errands.
  • Office supply purchasing and maintaining receipts for all purchases.
  • Serve as a central communication point between departments to ensure accurate information flow and follow up.
  • Perform other duties as assigned.

An Office Administrator who can perform these duties safely and effectively allows the mill to run smoothly. It is imperative that each employee does his or her job to the utmost of their ability.

Work Environment

The Office Administrator works primarily in an office setting located within a manufacturing facility. This role regularly interacts with all levels of management, production personnel, and visitors, requiring professionalism and effective communication in a fast-paced environment. While most duties are performed in a climate-controlled office, occasional visits to the production floor may be necessary to coordinate with department leaders or review documentation needs.

The position requires frequent use of standard office equipment such as computers, phones, copiers, and scanners. The noise level in the work environment is typically moderate in the office and may be louder when entering production areas. Safety awareness and adherence to all company policies and procedures are always essential.

Physical Requirements

While performing the duties of this job, the employee is regularly required to sit, stand, walk, and communicate effectively. The role involves frequent computer and phone use, as well as handling and organizing paperwork or files. The employee may occasionally be required to lift and/or move up to 20 pounds. Periodic movement between office areas and the manufacturing floor is required to perform certain administrative or coordination tasks.   • High School Diploma/Equivalent (GED)
  • Minimum 2 years of administrative or office support experience.
