Summary

We are seeking a highly organized and motivated Talent Acquisition Coordinator to play a critical role in supporting our talent acquisition efforts. This position is essential for maintaining the smooth and efficient flow of our recruiting pipeline by managing scheduling, candidate data, administrative tasks, and outreach coordination. The successful candidate will act as a key liaison between company leadership, potential candidates, and referral sources, ensuring a positive and professional experience for all parties.

Key Responsibilities

  • Pipeline Management & Coordination: Schedule and coordinate a high volume of meetings and calls between company owners/leadership and potential candidates or prospects.
  • Data Management & Integrity: Manage and consistently update the company's Applicant Tracking System (ATS) with accurate candidate information, detailed notes, and follow-up actions.
  • Sourcing Support & Research: Conduct research to identify and build targeted lists of potential candidates or referral sources. Assist in sourcing and outreach to candidates through various channels, including LinkedIn, job boards, and professional networks.
  • Candidate Experience: Coordinate next steps in the recruiting process, including scheduling interviews, managing logistics, and handling professional and timely candidate communication.
  • Administrative & Reporting: Support the preparation of recruiting materials and documentation. Track progress and maintain organized records to ensure timely communication and follow-through on all action items.
  • Process Improvement: Collaborate with leadership to continuously evaluate and improve recruiting workflows, operational efficiencies, and communication strategies.

Qualifications

  • Previous experience in recruiting, talent acquisition, administrative support, or a related role is preferred. Experience within the mortgage or financial services industry is a strong asset.
  • Demonstrated strong organizational skills with an exceptional attention to detail and a proactive approach to follow-up.
  • Excellent written and verbal communication skills, capable of interacting professionally with high-level candidates and company leadership.
  • Comfortable and proficient using CRM systems, spreadsheets (e.g., Excel/Google Sheets), and common communication and scheduling tools (e.g., Outlook, Teams, Zoom).
  • Self-motivated and able to manage and prioritize multiple, competing tasks effectively in a dynamic, fast-paced environment.
