Position Summary:
We are seeking a dynamic and experienced professional to join our team. This role involves sourcing venues across the East Coast to plan events for the next six months. The successful candidate will create communication templates, plan catering options and menus, organize agendas, and coordinate shuttle services. Additionally, they will be responsible for ordering materials and creating event kits for each occasion.

Primary Responsibilities/Accountabilities
:

  • A typical day involves venue sourcing, planning logistics, and executing event details. You will collaborate with various vendors and stakeholders, ensuring every event is meticulously planned and executed to perfection.
  • Contractor performance will be measured based on time management, task completion, quality of concept proposals, and preparedness for any situation.
  • This role offers significant exposure to top leaders in the AI industry, providing opportunities for ideation and creative concept development. There is potential for long-term growth, including focusing on enhancing local East Coast employee culture and experiences.
  • This position requires office attendance to provide executive support or administrative assistance.

Qualifications:

  • 5-7 years of experience in event planning at offsite hotel/conference locations, managing large-scale and full-scope events.
  • Exceptional time management skills.
  • Strong project management and task-tracking abilities.
  • The ideal candidate has a strong background in event planning and venue sourcing, with experience in managing hotel blocks and meeting spaces. Exceptional program management and organizational skills are essential.
